Job Description

We are looking for an experienced Executive Assistant to support senior leadership for an insurance organization in Falls Church, Virginia. This contract-to-permanent opportunity is ideal for a highly organized individual who can manage competing priorities, communicate with confidence, and maintain an effective presence in a fast-paced office environment. The role requires excellent judgment, strong attention to detail, and the ability to prepare executive-level materials with accuracy and care.
Responsibilities:
  • Oversee complex executive calendars, resolve scheduling conflicts, and ensure leaders are fully prepared for daily priorities and upcoming commitments.
  • Coordinate domestic and business travel arrangements, including itineraries, logistics, and expense-related support using Concur.
  • Create effective board-facing presentations, assemble supporting materials, and help prepare reports for leadership review.
  • Record key discussion points during meetings and produce clear, organized notes and follow-up items.
  • Manage a wide range of administrative activities while balancing shifting deadlines and multiple requests from senior stakeholders.
  • Draft, format, and edit correspondence, documents, and presentations using Microsoft Outlook, PowerPoint, Excel, and Word.
  • Serve as a dependable point of contact for executive meetings by organizing agendas, confirming logistics, and supporting smooth execution.
  • Maintain a high standard of discretion and accuracy in all interactions and deliverables.
