Job Description

Job Overview We are seeking a highly organized and proactive Senior Executive Assistant and Admin Lead to provide comprehensive support to a 3-person executive leadership team and lead administrative functions for the company. This role requires a detail-oriented professional who excels in email communications, managing schedules, making travel arrangements, responding to client requests, performing research and maintaining data across multiple systems. The position is also responsible for handling a wide range of administrative tasks with efficiency and professionalism. The ideal candidate will thrive in a quiet self-paced environment, demonstrating exceptional communication skills, initiative, and a passion for streamlining operations. Responsibilities Facilitate communication between executives and external stakeholders through effective email management and follow-up. Manage and maintain detailed calendars using Microsoft Outlook Calendar, scheduling international virtual meetings, appointments, and travel arrangements with precision. Provide executive administrative support by conducting research and analysis, preparing reports, correspondence, and presentations; proofreading documents for accuracy and clarity. Follow up with key customers and vendors, both current and prospective. Support projects across departments, ensuring deadlines are met and deliverables are completed efficiently. Use office software tools like Microsoft Office Suite to create spreadsheets, reports, and presentations that support executive decision-making and drive stakeholder engagement. Conduct transcription of meetings or notes as needed; assist with proofreading documents to ensure quality standards are maintained. Monitor social media presence and create content for clients. Have a willingness and attitude to do whatever is needed to get the job done. Qualifications Proven experience as an executive assistant or personal assistant with strong administrative background. 5+ years of experience in a professional office environment preferred. Demonstrated expertise in office management, project coordination, event planning, and clerical tasks. Excellent organizational skills with the ability to prioritize multiple responsibilities and demands from multiple sources efficiently. Expertise in Microsoft Office (Word, Excel, PowerPoint, Access, SharePoint), Adobe, and other web- and cloud-based systems. High computer skills proficiency and understanding Strong typing skills with high accuracy; experience in proofreading is preferred. Exceptional phone etiquette skills. Familiarity with data entry processes, basic bookkeeping practices, filing systems, and front desk operations. Outstanding communication skills—both written and verbal—with a professional demeanor suited for high-level interactions. Cultural awareness and sensitivity in engagement with international clients; multilingual a plus. Ability to handle sensitive information discreetly and maintaining confidentiality at all times.
