The Executive Assistant serves as a strategic support partner to the Chief Operating Officer (COO), ensuring operational alignment through exceptional meeting management, documentation, and follow-through. This role is responsible for capturing, organizing, and driving accountability on key discussions, decisions, and action items emerging from various forums. A strong Executive Assistant acts as a central point of coordination for the COO in maintaining clarity, momentum, and communication across initiatives. To be successful, the Executive Assistant requires strong judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.JOB RESPONSIBILITIES
Executive Administrative Support | 65%Core Competency:
Coordination & Communication Draft and distribute leadership communications, summaries, and updates Ensure alignment and clarity across departments on priorities and deliverables Organize and maintain leadership documents, reports, and repositories Create templates, systems, and workflows to improve efficiency and consistency Support preparation of agendas, presentations, reports, and other leadership materials Act as a liaison between the COO and department leaders Prepare reports, dashboards, and summaries of business performance Help coordinate leadership meetings or offsitesCore Competency:
Documentation & Information Management Attend and actively support COO-led and various company meetings Capture clear, concise, and actionable meeting minutes in real time Distill complex discussions into structured summaries, key decisions, and next steps for documentation, distribution, and ongoing reference Ensure agendas, materials, and supporting documentation are prepared and accessible Standardize meeting documentation practices across leadership forums Manage key calendars across multiple priorities and stakeholders Conduct research and pull insights for decision-making Execution & Leadership Support | 35%Core Competency:
Workflow Management Track and manage action items from COO and leadership meetings, ensuring clear ownership and deadlines Proactively follow up with stakeholders to drive timely completion of deliverables Maintain centralized tracking tools (e.g., action logs, dashboards, task systems) to provide visibility into progress Escalate delays, conflicts, or gaps in execution to the COO with recommended next steps when appropriate Support cross-functional coordination on key initiatives by ensuring alignment on timelines and deliverables Assist in prioritizing incoming requests to the COO, ensuring focus on highest-impact work Identify workflow inefficiencies and recommend process improvements to enhance execution and communicationPHYSICAL REQUIREMENTS
Ability to lift and carry up to 25 lbs. Ability to operate in a clerical setting, routinely using standard office equipment such as computers, phones, photocopiers, filing cabinets, etc.REQUIRED KNOWLEDGE & EXPERIENCE
3-7+ years supporting senior executives, operations teams, or leadership environments Demonstrated experience taking high-quality meeting minutes and tracking action items Experience working in fast-paced, cross-functional environments Excellent communication skills, with the added skills of conflict resolution A high attention to detail driven by a desire to be thorough, guided by a strong sense of integrity Proficient in Microsoft Office applications (e.g., Word, PowerPoint, Excel, and Outlook) Ability to handle multiple projects at once, with sound decision making skills to prioritize and organize self effectivelyPREFERRED KNOWLEDGE & EXPERIENCE
Experience supporting a COO or operations function Familiarity with project management tools Experience standardizing processes or building internal systems Background in operations, project coordination, or executive support strongly preferred Demonstrated proactive, driven, self-starter mindset Demonstrated ability to work effectively with a wide range of people and personalitiesEDUCATION
High school diploma or equivalent required Bachelor's degree in Business Administration, Communications, Operations, or a related field preferredSECURITY CLEARANCE
