Job Description
Description We are looking for a skilled and resourceful Executive Assistant to join our team on a short-term contract basis in Norfolk, Virginia. This role requires a flexible proactive, detail-oriented individual who excels in supporting executive leadership through efficient administrative tasks, travel coordination, and claims department operations. The ideal candidate will demonstrate adaptability and precision in a fast-paced environment while ensuring seamless workflows and client satisfaction.
Responsibilities:
- Manage complex calendars for executive leadership, scheduling meetings and appointments with precision.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation to meet business needs.
- Organize executive meetings, ensuring materials and logistics are prepared in advance.
- Assist with claims processing tasks, supporting operational workflows within the claims department.
- Handle client inquiries with attention to detail, providing timely resolutions to issues.
- Maintain thorough documentation and records related to claims and administrative tasks.
- Collaborate with internal teams to ensure smooth communication and workflow across departments.
- Prioritize and adapt to shifting needs based on claim volume and client demands.
- Uphold confidentiality and a high standard of conduct in handling sensitive information.
- Support additional administrative functions as required to optimize executive operations. Requirements
- Minimum of 2 years of experience as an Executive Assistant or in a similar administrative role.
- Support executive leadership while also providing administrative and operational assistance within the Claims Department
- This role plays a key part in ensuring smooth day‑to‑day operations with flexibility as priorities may shift based on client needs, claim volume, and business demands
- Familiarity with claims processing and insurance claims workflow and assisting with client inquiries and issue resolutions.
- Exceptional organizational skills and attention to detail.
- Ability to communicate effectively with clients and team members.
- Proven ability to handle multiple tasks and prioritize in a dynamic environment.
- High level of professionalism and discretion when dealing with sensitive information.
