Job Description

Company Overview Bradley House is a residential care facility dedicated to providing compassionate and quality care to our residents. Job Summary We are seeking a highly organized and proactive Executive Assistant to support our leadership team. The ideal candidate will possess exceptional administrative skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. As an integral part of our organization, the Executive Assistant will ensure smooth daily operations by handling office management responsibilities with professionalism and discretion.
Responsibilities Essential Job Functions:
The Executive Administrative Assistant works with direction from the Executive Director in carrying out the tasks inherent in the day-to-day operations of Bradley House. This is a 32-40 hours per week position with full-time benefits.
Responsibilities and Duties:
Office Management:
Maintains business, personnel, and organizational records.
Document Preparation:
Drafts reports, presentations, and correspondence under the direction of the Executive Director.
Meeting Coordination:
Organizes board meetings, management and all-staff meetings, and special events; prepares agendas and takes minutes as needed.
Admissions Support:
Assists the Executive Director by fielding admissions inquiries; tracking and following up on applications, scheduling tours and assessments, preparing reservations admissions agreements, and any other tasks inherent in the admissions process.
Human Resources Support:
Works under the direction of the Executive Director in recruiting, screening, hiring, orienting, training, counseling staff ; coordinates probationary and annual evaluation processes Ensures procedures are followed regarding maintaining accurate, confidential and complete personnel files; initiates, files and tracks workers' compensation claims. Helps maintain the benefits program for Bradley House staff, ensures that staff are aware of benefit opportunities, makes changes for individual subscribers relative to changes in employment status; and maintains regular communication with providers regarding annual renewals and program changes under the direction of the Executive Director.

Strong written and verbal skills for communicating with staff, residents,families, vendors, and agency contacts
Proactive Planning:
Anticipating needs before they arise, such as prepping materials before a meeting is requested.
Prioritization:
Ability to distinguish between urgent and important tasks in a fast-paced environment.
Technology Proficiency:
Expertise in Microsoft Office Suite, facility with learning and using cloud-based patient and client management software tools.
Interpersonal and Customer-Facing Skills:
capable of maintaining a high level of confidentiality; facility working with diverse groups; ability to navigate conflict.
Pay:
$24.00 - $28.00 per hour
