Bellingham, WA, with willingness to travel within and out of state for meetings and events when requested ―――――――――――――――――――――――――――――――――――――――――――――――――――――――――――――――――――――――――― Position Overview We are seeking a highly organized and proactive Executive Assistant (EA) to join our team on a part-time basis, with the opportunity to transition to full-time as the role develops. This position provides high-level administrative support to the CEO, acting as a strategic partner to maximize executive productivity and ensure smooth day-to-day operations. The ideal candidate brings exceptional organizational skills, sound judgment, and the ability to handle sensitive information with discretion.     Calendar Management:
    Schedule meetings, manage priorities, and resolve conflicts across time zones to keep the CEO's day running efficiently.
      Communication Management:
      Act as the gatekeeper for emails, calls, and correspondence—often responding on behalf of the executive with professionalism and clarity.
        Travel Coordination:
        Organize detailed travel itineraries including flights, accommodations, and ground transportation for both domestic and out-of-state trips.
          Deliverable & Task Management:
          Track and manage key deliverables, deadlines, and action items across projects and business initiatives. Coordinate with internal team to ensure tasks are completed on schedule, maintain organized tracking systems, and proactively follow up to keep priorities moving forward.
            Document Preparation:
            Create, edit, and format documents, reports, presentations, and spreadsheets to a high standard of accuracy and professionalism.
              Meeting & Event Planning:
              Organize internal and external meetings, client meetings, and off-site events with attention to logistics and detail.
                Confidentiality:
                Handle sensitive, company-critical information with the highest level of discretion and integrity.
                  Flexibility:

                  Qualifications Required:
                  • Previous experience as an executive assistant, administrative assistant, project coordinator, or in a similar support role.
                  • Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
                  • Strong verbal and written communication skills for interfacing with colleagues, clients, vendors, and business partners.
                  • Superior time management, organizational skills, attention to detail, and follow-through.
                  • Ability to work independently, prioritize tasks, and make sound decisions in a fast-paced environment.
                  • High degree of discretion and professionalism when handling confidential information.
                  Preferred:
                  • Experience with Adobe Suite and/or InDesign.
                  • Background supporting C-suite or senior leadership in a professional services or consulting environment.
                  • Comfort working in a collaborative, client-facing organizational culture.

                  Annual Full-time Salary Range:
                  $70,000 - $85,000, commensurate with experience ($33 - $40 hourly, part-time)
                    Paid Time Off:
                    Vacation Pay (80 hours annually), Sick Pay (40 hours annually), and 11 paid holidays per year (pro-rated for part-time employment)
                      Retirement Plan:
                      Annual SEP IRA employer
                        Health & Vision Insurance:
                        Employer paid monthly premiums for employees

                          • Part-time to start, with the opportunity to transition to full-time work. This position begins as part-time and is expected to transition to full-time (8 hours per day, 40 hours per week) as the role develops and mutual fit is established.
