Job Description
Description We are looking for an organized and proactive Executive Assistant to support the CEO of a well-established organization in Bothell. This contract opportunity has the potential to become permanent and is ideal for someone who excels at managing complex schedules, coordinating travel, and keeping executive operations running smoothly. The right candidate will bring strong judgment, attention to detail, and the ability to handle shifting priorities in a dynamic setting.
Responsibilities:
- Manage executive calendars, prioritize scheduling needs, and ensure meetings are arranged efficiently across changing priorities.
- Coordinate domestic and business travel plans, including itineraries, reservations, and schedule adjustments as needed.
- Prepare meeting logistics for leadership, including scheduling, materials coordination, and follow-up support.
- Record and organize meeting notes, action items, and key decisions to help maintain accountability and alignment.
- Provide day-to-day administrative support to executives, handling correspondence, documentation, and routine coordination tasks.
- Serve as a central point of communication for executive-related matters, helping streamline internal and external interactions.
- Track deadlines, appointments, and upcoming commitments to help leadership stay organized and prepared. Requirements
- Proven experience supporting executives or senior leaders in an executive assistant capacity.
- Strong ability to manage calendars, coordinate meetings, and balance competing scheduling demands.
- Experience arranging business travel and handling related logistics with accuracy and efficiency.
- Skilled in documenting meeting discussions and capturing clear, actionable minutes.
- Excellent organizational skills with strong attention to detail and follow-through.
- Effective written and verbal communication skills in a business setting.
- Ability to maintain discretion and handle sensitive information with care.
