Job Description

We are looking for a part-time Executive Assistant to support a CEO based in Bothell, WA (10-20 hours/week). This contract position is ideal for someone who excels at managing complex schedules, coordinating logistics and travel, and keeping executive priorities on track. The role requires strong administrative judgment, effective communication, and the ability to handle shifting needs in a fast-paced environment. This position is primarily remote, but the candidate must live locally in the Greater Seattle area.
Responsibilities:
  • Manage executive calendars by organizing meetings, resolving scheduling conflicts, and ensuring leaders are prepared for daily priorities.
  • Arrange domestic and international travel plans, including flights, lodging, ground transportation, and detailed itineraries.
  • Coordinate meeting logistics for executive-level discussions, including scheduling, room planning, agenda support, and follow-up needs.
  • Provide day-to-day administrative support by handling correspondence, tracking action items, and maintaining organized records.
  • Anticipate scheduling and travel-related challenges and address them proactively to minimize disruptions for leadership.
  • Partner with internal teams and external contacts to confirm appointments, travel details, and meeting arrangements.
  • Support operational updates and process-related administrative tasks as needed, including changes tied to internal systems or workflows when applicable.
