Job Description

Job Overview We are seeking an organized and proactive Executive Assistant to join our team. In this role, you will provide administrative support to the CEO of a growing hospitality company. Your approach and attention to detail will enhance efficiency, facilitate project coordination, and increase productivity across the organization. This position offers an opportunity for a motivated professional to contribute to a fast-paced environment while showcasing exceptional organizational and interpersonal skills. Responsibilities Manage complex calendars, schedule appointments, and coordinate meetings for the CEO with precision and efficiency Handle multiple meetings, screen calls, and direct inquiries with professionalism and courtesy Prepare, proofread, and organize correspondence, reports, presentations, and other documents to ensure accuracy and clarity Maintain organized filing systems—both physical and digital—ensuring easy retrieval of important information Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping Support personal assistant responsibilities such as travel arrangements, event planning, and calendar management Provide excellent customer service by addressing inquiries promptly via phone or email and supporting client interactions Perform data entry tasks with high accuracy while maintaining confidentiality of sensitive information Coordinate office logistics including filing, photocopying, proofreading documents, and managing office equipment Experience Prior office management or administrative experience in a fast-paced environment is helpful Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Experience providing exceptional phone etiquette is required Bilingual skills are highly desirable to facilitate communication with diverse clients or patients (Spanish in particular) Familiarity with clerical tasks such as data entry, filing, proofreading, and calendar management is necessary Previous experience in customer service roles is advantageous Strong organizational skills combined with excellent time management abilities are crucial for success in this role Knowledge of bookkeeping software is preferred but not mandatory; willingness to learn is appreciated This role invites professionals eager to make a meaningful impact through dedicated support.
