Position Summary SEIU Healthcare 1199 NW is a dynamic, action-oriented union of over 35,000 healthcare workers throughout Washington and Montana. The Executive Assistant to the President plays a critical role in advancing our union's mission by ensuring the Executive Office operates with clarity, discipline, and alignment to our values. This role supports the President in leading a dynamic, member-driven organization. Most work is of a confidential nature and involves the accurate and timely processing of documents and information. This position is heavily involved in the planning and execution of various functions relevant to the President's work and requires a high degree of skill in logistical planning and organization. Additionally, an employee in this position may, on occasion, be asked to carry out certain assignments to coordinate the President's personal calendar with their business calendar and to perform, on an isolated basis, personal tasks that are directly related to enabling the Officer to accomplish their union work From time to time, an employee will be asked to work on projects with 4 other Officers and coordinate their calendars, at the direction of the President. Independent judgment is required to manage competing priorities in a fast-paced environment. This position reports to the President and works closely with officers, senior staff, and member leaders. Key Responsibilities 1. Strategic Calendaring and Priority Management Proactively manage a complex and strategic calendar that reflects the President's priorities, including but not limited to organizational priorities, governance obligations, and political commitments. Anticipate and resolve scheduling conflicts in a fast-moving environment. Prepare daily and weekly briefing materials so the President is fully prepared for meetings, public appearances, and member engagements. Coordinate frequent travel, itineraries, and logistics for President. 2. Executive Board and Executive Committee Support Coordinate Executive Board, Officer, and Executive Committee meetings (attendance of 100-300 participants), including preparation of printed and emailed agendas, logistics, other printed and digital materials, and official records. Take minutes and maintain accurate records of attendance. Track donations and next steps to ensure proper communication and follow-up with the Executive Board and staff. Prepare background information and materials for Officer participation. Maintain secure and organized Executive Board records. 3. Communications & Relationship Management Draft and manage executive correspondence, including internal and external communications. Serve as a key point of contact for members, staff, elected officials, coalition partners, and community leaders engaging with the Executive Office. Represent the Executive's Office with professionalism and alignment with union values. 4. Operational & Administrative Excellence Process expenses, invoices, consulting agreements, and financial documentation in compliance with union policy. Maintain organized filing and document retention systems. Identify and implement process improvements to increase efficiency and coordination across the Executive Office. Provide backup support to other executive administrative staff as needed. 5. Other Duties as

Qualifications:
