Job Description

The Executive Assistant provides high-level administrative, operational, and strategic support to the President, ensuring the effective management of executive priorities, communications, scheduling, and business initiatives. This role serves as a trusted partner responsible for managing complex calendars, coordinating executive meetings and travel, handling confidential information, tracking key business objectives, and serving as a liaison between the President and internal and external stakeholders. The ideal candidate is highly organized, proactive, resourceful, and capable of exercising sound judgment and discretion in a fast-paced executive environment. Candidates should possess strong business acumen, exceptional communication skills, and the ability to anticipate needs while supporting organizational goals.
Responsibilities:
Manage the President's complex calendar, prioritizing meetings and commitments based on strategic business objectives and organizational priorities. Coordinate internal and external meetings with senior executives, customers, vendors, industry partners, and key stakeholders. Prepare executive briefing materials, agendas, presentations, reports, and supporting documentation for meetings and business reviews. Draft, edit, and manage executive correspondence, communications, presentations, and reports. Serve as a primary point of contact between the President and internal leadership teams, ensuring timely communication and follow-through. Coordinate executive leadership meetings, board meetings, customer meetings, company events, and special projects. Prepare meeting materials, document action items, and ensure timely follow-up on executive initiatives and commitments. Arrange complex domestic and international travel, including transportation, accommodations, meeting schedules, and detailed itineraries. Handle highly confidential information related to business strategy, financial performance, personnel matters, acquisitions, customer relationships, and organizational planning. Monitor executive priorities, track project milestones, and proactively follow up on key initiatives. Assist with research, reporting, process improvement efforts, and strategic projects as directed by the President. Support relationship management activities with customers, suppliers, distribution partners, and industry contacts.
Qualifications:
Bachelor's degree in Business Administration, Finance, Accounting, Management, Communications, Marketing, Economics, or related field preferred. Minimum of 3 years of experience supporting senior executives, preferably a President, CEO, Owner, or other C-suite executive or related experience. Experience with automotive paint sales, paint distribution, automotive refinishing, collision repair operations, coatings manufacturing, paint supply businesses, or related industry segments. Experience interacting with customers, suppliers, distributors, and industry partners in a business-to-business (B2B) environment. Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. Exceptional organizational, project management, time-management, and follow-up skills. Excellent written, verbal, and interpersonal communication abilities. Demonstrated ability to manage multiple priorities and deadlines in a fast-paced business environment. High level of discretion, professionalism, diplomacy, and confidentiality. Self-starter with the ability to work independently, anticipate needs, solve problems proactively, and adapt quickly to changing priorities. Strong business judgment and the ability to appropriately prioritize, filter information, and escalate issues when necessary. High emotional intelligence, professional maturity, and executive presence.
