We are seeking a dynamic individual to become an integral part of our leadership support team, directly contributing to the strategic flow and daily success of a General Manager and their innovative, AI-focused team. In this pivotal role, you will leverage your administrative and project management expertise to ensure critical business operations run smoothly, allowing our leadership to focus on groundbreaking initiatives. Your impact will be immediate and tangible, directly enabling high-level decision-making and fostering a collaborative, efficient environment.Key Responsibilities:
- Manage complex calendars with meticulous attention to detail, prioritizing commitments and resolving conflicts to align with leadership objectives.
- Orchestrate comprehensive domestic and international travel arrangements, proactively managing all logistics from planning through expense reconciliation.
- Facilitate the leadership's rhythm of business by coordinating staff meetings, events, and offsites, including logistics and material preparation, in partnership with the Business Manager.
- Cultivate strong collaborative relationships with key internal stakeholders, including human resources and finance teams.
- Process and approve expense reports efficiently and accurately.
- Build and maintain professional relationships with administrative counterparts across the organization.
- Contribute as a key member of a strong administrative team, supporting the broader organizational needs.
- Support annual and ongoing budget, headcount, and spend activities, including fiscal-year budget planning and accurate reporting for effective financial management and forecasting.
- Coordinate and manage regular business operations and communications, integrating strategic planning and priorities, and overseeing the Rhythm of Business for alignment and accountability.
- Provide essential team support, including managing equipment requests, generating purchase orders, and assisting with special projects.
Must-Have Qualifications:
- Proven experience in business operations or a similar management support role.
- Strong verbal and written communication skills, with a keen eye for detail.
- Exceptional problem-solving abilities and strong interpersonal skills.
- Basic understanding of budget processes, quality control, cost management, and forecasting alignment.
- Foundational knowledge of business and management principles, including strategic planning, resource allocation, and headcount management.
- Demonstrated proficiency using standard office productivity suites and collaboration tools.
- Ability to work independently and proactively, with a strong detail orientation.
- Excellent communication and teamwork skills.
- A degree is preferred for this role.

- Experience with business intelligence and document management platforms.
