Act boldly and create a ripple effect The Role The Executive Assistant to the CEO provides high-level administrative support focused on ensuring the CEO is prepared for each day and can focus on critical business priorities. This role is centered on managing complex scheduling, preparing for meetings, and handling confidential information with a high degree of discretion and accuracy. They act as both a gatekeeper and representative of the CEO, helping her maintain leadership focus and efficiency. Through meticulous organization and foresight, the executive assistant helps drive the company's objectives forward. This position is integral to the smooth functioning of the executive office, directly contributing to the productivity and success of the leadership team. Success in this role looks like keeping things running seamlessly, accurately, and on time—every time. Calendar & Logistics Own complex calendar management across internal and external stakeholders, including shifting priorities and multiple national and global time zones. Proactively plan schedules, meetings, and focus time with business priorities in mind. Coordinate domestic and international travel end-to-end (itineraries, logistics, contingencies). Prepare daily and forward-looking materials to ensure the CEO is consistently prepared. Coordinate meeting logistics (agenda, participants, materials, room/virtual setup, notes, and follow-ups). Track time, travel, and related reporting with accuracy. CEO Support & Prioritization Act as an extension of the CEO, managing priorities, deadlines, and follow-through. Gatekeep time and communications to minimize distractions and maximize effectiveness. Balance competing priorities with sound judgment and clarity. Represent the CEO's office with professionalism, discretion, and strong judgment. Execution & Administrative Support Maintain strong systems, organization, and documentation. Manage and maintain CEO-related platforms and inboxes (e.g., LinkedIn, CRM, Salesforce, Asana, SharePoint), ensuring accurate tracking and timely updates. Process expenses, invoices, and documentation with precision. Draft, review, and send correspondence on behalf of the CEO. Ensure information is captured, tracked, and followed through consistently. Coordination & Communication Serve as a central point of coordination between the CEO, staff, and Leadership Team. Facilitate clear, timely communication across stakeholders. Build trust and maintain credibility through reliable follow-through. Additional Support Anticipate needs and maintain systems that streamline workflows and improve efficiency. Prepare materials, briefings, and presentations for meetings and engagements. Support execution of special projects and company-wide events as directed. What We're Looking For 5-7+ years supporting senior executives (C-level preferred) Highly proactive and organized; thinks multiple steps ahead Confident managing up and providing structure to a fast-moving executive Calm, discreet, and steady under pressure Direct communicator with excellent judgment Detail-oriented with high standards for follow-through Proven ability to prioritize and execute reliably under tight timelines Sound judgment, professionalism, and discretion with sensitive information This role is ideal for someone who: Prefers clear direction and executing against it Thrives in a highly detail-oriented, execution-focused role Takes pride in consistency, accuracy, and follow-through Is comfortable operating behind the scenes to ensure everything runs smoothly Maintains composure and professionalism in a fast-paced environment Compensation & Benefits $80,000-$85,000 and requires 4 days on-site in Seattle Health, vision, and dental FSA 401(k) safe harbor plan, with employer contribution equal to 3% salary with immediate vesting Flexible paid time off 16 paid holidays per year, including an organization-wide Winter Break Up to 12 weeks fully paid family/medical leave (eligible after 1 year of employment) ...
