Position Summary:
The Executive Assistant to the Superintendent and School Board serves as a highly responsible and confidential administrative professional supporting the Superintendent and the Board of Education. This position plays a critical role in ensuring effective governance, organizational efficiency, and clear communication across the district. The Executive Assistant manages Board operations, supports executive-level decision-making, and coordinates high-level administrative functions requiring discretion, accuracy, and sound judgment. Essential Duties and Responsibilities Board of Education Support Coordinate all aspects of Board of Education meetings, including preparation, posting, and distribution of agendas in compliance with Wisconsin Open Meetings Law. Compile, proofread, and publish Board packets using the district's board management system (e.g., BoardDocs or equivalent). Record, transcribe, and maintain accurate minutes of Board meetings, committee meetings, and special sessions. Serve as a liaison between the Superintendent, Board members, legal counsel, and administrative staff. Maintain official Board records, policies, resolutions, and historical documents in accordance with state retention requirements. Support Board onboarding, elections, and organizational meetings. Coordinate Board communications, calendars, and logistics, including retreats, workshops, and conferences. Superintendent Support Provide direct administrative support to the Superintendent, including calendar management, correspondence, scheduling, and prioritization of commitments. Draft, edit, and manage confidential communications, reports, presentations, and district-level documents. Coordinate Leadership Team meetings, agendas, and follow-up actions. Serve as a gatekeeper and facilitator for internal and external communications with the Superintendent's office. Manage sensitive information with a high level of confidentiality and professionalism. Open Enrollment Coordination Serve as the district point of contact for all open enrollment applications, both in and out of the district. Coordinate the processing, tracking, and communication of open enrollment applications in accordance with Wisconsin Department of Public Instruction (DPI) timelines and requirements. Collaborate with building administrators and district leadership to review applications and ensure alignment with district capacity and policy. Communicate decisions, timelines, and requirements clearly to families. Maintain accurate records and documentation related to open enrollment applications and decisions. Support reporting and data submissions related to open enrollment as required by DPI. Ensure confidentiality and compliance in handling student and family information. District Operations & Communication Support district-wide initiatives, including strategic planning, referendum communication, and transition planning efforts. Assist in the coordination and dissemination of district communications to staff, families, and community stakeholders. Collaborate with departments (HR, Finance, Facilities, Curriculum) to ensure alignment and timely execution of administrative processes. Maintain organizational systems, files, and workflows to support efficiency and compliance. Assist with public records requests in coordination with legal counsel and administration. Compliance & Governance Ensure adherence to Wisconsin statutes, including Open Meetings Law, public records law, and Board governance best practices. Maintain confidentiality of personnel matters, legal issues, negotiations, and Board deliberations. Track Board policies and coordinate updates in collaboration with policy services (e.g., NEOLA or equivalent). Perform other duties as assigned to support the operations of the School District of Cudahy.
Knowledge, Skills, and Abilities:
Strong understanding of school district governance and public sector operations preferred. Exceptional organizational and time management skills with the ability to manage multiple priorities and deadlines. Advanced written and verbal communication skills, including professional correspondence and document preparation. High level of discretion, integrity, and confidentiality. Proficiency in office software (Google Workspace, Microsoft Office), board management systems, and data systems. Ability to work independently while maintaining strong collaborative and positive relationships. Strong attention to detail and accuracy in all work products. Ability to navigate complex situations with professionalism and sound judgment. Initiative and flexibility to adapt to changing priorities or emergency needs.
Physical & Mental Demands:
Must be able to stand, walk, sit, climb, crawl, bend, and remain in a stationary position for extended periods, with or without back support Frequently required to perform physical tasks such as lifting, carrying, or moving items up to 25 pounds, with occasional exertion of up to 50 pounds Must be able to maintain focus, concentration, and attention to detail across a variety of tasks Must follow all safety practices and protocols at all times May require the use of standard tools and equipment during inspections or maintenance walkthroughs Must be able to operate computers, printers, copiers, phones, and other standard office equipment. Vocal communication is required to express ideas and provide detailed or important instructions clearly and effectively Hearing is required to understand normal spoken conversations, respond to inquiries, and distinguish between various sounds Must be able to communicate effectively—both verbally and in writing—with staff, administration, parents, and other members of the educational community Must be able to remain composed and exercise emotional control under stressful or emergency conditions Proficiency in using web-based programs (Skyward, Google Workspace), email, and educational or operational technology (e.g., laptops, Smartboards)
Qualifications:
Bachelor's degree required. Minimum of 3-5 years of executive administrative support experience, preferably in education or public sector. Experience supporting a governing board or executive leadership team strongly preferred. Demonstrated experience handling confidential information and complex administrative processes.
Working Conditions:
Office environment within a school district setting. Occasional evening meetings required to support Board of Education meetings and events. Extended hours may be required during peak periods (e.g., Board cycles, elections, major initiatives). Work will take place primarily in indoor school or office environments, with regular exposure to student noise, music, food odors, cleaning chemicals, and occasional facility-related noise. Additional occasional evening or weekend hours may be required to support special events, emergency responses, or seasonal maintenance needs. Regular and consistent work attendance is expected. Travel between district buildings may be required; employees must use their own vehicle and will be reimbursed for mileage per district policy. The employee shall remain free from the use of alcohol or illegal substances in the workplace, in compliance with Policy 3122.01, throughout their employment with the District.
