Position Overview:
The File Clerk will play a pivotal role in maintaining the integrity and organization of financial records and documents essential to the operations of our luxury commercial properties. This position offers an exceptional opportunity for an individual who possesses a keen eye for detail and is committed to upholding the highest standards of professionalism and efficiency.
Key Responsibilities:
Organize and maintain meticulous physical and electronic filing systems for financial documents, including invoices, receipts, leases, contracts, and other critical records. Ensure the accurate labeling, categorization, and storage of documents in accordance with established procedures, facilitating easy retrieval and accessibility for the accounting team. Support the accounting team with data entry tasks, including updating financial records, reconciling accounts, and inputting relevant information into accounting software systems. Provide prompt assistance to team members by retrieving requested documents and files, conducting research, and facilitating communication to streamline workflows and optimize efficiency. Conduct periodic audits of file systems to uphold accuracy, completeness, and compliance with company policies and industry regulations. Collaborate with colleagues to contribute to the success of special projects and initiatives as assigned by the accounting manager or senior team members. Maintain confidentiality and discretion when handling sensitive financial information, ensuring the utmost integrity and security of all documents and records.
Qualifications:
High school diploma or equivalent required; additional education in accounting, finance, or related field preferred. Prior experience in a clerical or administrative role, particularly in a financial or accounting environment, is advantageous. Exceptional organizational skills with a meticulous attention to detail and accuracy in record-keeping tasks. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with accounting software systems (e.g., QuickBooks, SAP) preferred. Excellent communication skills, both verbal and written, with the ability to collaborate effectively with colleagues and stakeholders. Proactive mindset with the ability to prioritize tasks, manage time efficiently, and adapt to changing priorities in a fast-paced work environment.
