We are seeking a detail-oriented Scanning/ File Clerk team member to maintain ward files, scan and organize documents in our internal Guardian Management System (GMS), and provide general clerical support across departments. This role also serves as backup receptionist and assists with special projects as needed. Key responsibilities Scan, file, and organize ward-related documents, correspondence, and records in GMS and the master file system. Maintain accurate paper and electronic files by ward number and ensure documents are placed in the correct sections. Process records for expired, restored, and successor-appointed wards. Review documents for scanning errors and make corrections as needed. Respond to staff requests for files, file sections, or specific documents. Track file activity using computerized systems and spreadsheets. Provide clerical support to departments as assigned and assist with special projects. Serve as backup receptionist by answering and routing incoming calls and voicemails. Qualifications High school diploma or GED required. Minimum of one year of administrative or clerical experience preferred; equivalent education and experience may be considered. Basic computer proficiency, including Microsoft Word, Excel, Outlook, internet use, and internal or external software applications. Strong attention to detail, organization, and accuracy in filing and data tracking. Ability to follow written and verbal instructions and handle routine workplace issues professionally. Bilingual English/Spanish skills preferred. Position Requirements Employment is contingent upon satisfactory completion of pre-employment screening, which may include criminal background verification, driving record review, drug testing, and credit check in accordance with applicable guidelines.
