This vital role serves as the backbone of our daily office operations by ensuring smooth workflow, providing exceptional support to attorneys and staff, and helping maintain a professional and welcoming environment for clients. This position is ideal for someone who thrives in a fast-paced office environment, can multitask efficiently, and maintains professionalism under pressure. The ideal candidate will have strong organizational skills, excellent attention to detail, and the ability to manage a high-volume workload while supporting attorneys and staff with daily administrative operations. Responsibilities Operate multi-line phone systems, answer incoming calls, and route inquiries appropriately Perform accurate data entry and maintain organized physical and digital filing systems Label, organize, and maintain files as documents are received Save, download, upload, and organize large quantities of documents and records File legal documents through various court portal systems, including Federal Pacer, Odyssey, PeachCourt, and other electronic filing systems Type and send correspondence to courts, opposing counsel, vendors, and clients Check, sort, process, and distribute incoming and outgoing mail daily Prepare and process certified mail, USPS, UPS, FedEx, and other shipping packages Send out discs, flash drives, and other document productions Receive, organize, scan, and maintain medical records and supporting documentation Assist with creating and organizing binders and exhibits for trial preparation Assist with processing invoices for payment and mailing checks Perform general clerical duties such as photocopying, scanning, mailing, and document preparation Support attorneys and staff with administrative needs and special projects Qualifications Familiarity with court filing systems is a plus Strong organizational and multitasking abilities Excellent written and verbal communication skills Strong attention to detail and accuracy Ability to work independently and efficiently in a very busy office environment Positive attitude, reliability, and willingness to assist wherever needed Schedule Full-time Monday through Friday Benefits Paid time off Opportunities for growth within the firm Supportive team environment This is an exciting opportunity for someone looking to grow their administrative and legal support experience within a collaborative and energetic law firm environment.
