Yes Location CountyAlbany Street Address540 Broadway CityAlbany StateNY Zip Code12207 Job Specifics Duties DescriptionUnder the direction of the Director of Ethics, the Deputy Director of Financial Disclosure Statements ("FDS"), and the Assistant Director of FDS, the Assistant Filings Specialist assists with the FDS filing program pursuant to Section 73-a of the Public Officers Law. The Assistant Filings Specialist updates records in the FDS online filing application, processes hardcopy filings, tracks filings, assists filers, and performs other duties to achieve compliance with Section 73-a of the Public Officers Law. The assigned program area of an Assistant Filings Specialist may be changed over time as experience is gained to provide experience in all program areas. Duties of this position may include, but are not limited to:
- Working with FDS Filings Specialists in reviewing filings for compliance with Section 73-a of the Public Officers Law, including determining missing information and obtaining such information;
- Processing and tracking all hardcopy and online filings, as well as organizing and filing any hardcopy forms in filing room.
- Routinely communicating with and assisting filers, including answering basic FDS questions and referring more complex questions to FDS Filings Specialists, the Assistant Director of FDS, the Deputy Director of FDS, or an attorney on staff; assisting with the technical aspect of the online filing application as well as explaining basic filing requirements and procedures (such as filing deadlines and processes for requesting extensions, exemptions, and redactions); answering FDS inquiries by phone and email.
- Assisting the Deputy Director of FDS and Assistant Director of FDS with delinquent filer reach out, after Failure to File notices and Notices of Delinquency are sent.
- Working on special projects as requested by the Assistant Director of FDS, the Deputy Director of FDS, and the Director of Ethics.
- Maintaining files of the FDS Unit, including electronic filings, hardcopy filings, correspondence, and other documents; conducting searches for requested records; purging files for storage or disposal according to Records Disposition Schedules.
Minimum QualificationsExcellent communication skills; experience with Microsoft Office and data entry; strong attention to detail; good organizational skills; technology or database experience recommended.
