Job Description

Full Job Description The client is a business and litigation law firm headquartered in Pittsburgh, Pennsylvania. We have five offices throughout Pennsylvania, West Virginia, and New Jersey from which we serve clients in all 50 states and the District of Columbia. Our clients range from Fortune 200 and large privately held companies to municipal entities, small businesses, and partnerships in a broad diversity of industries and business sectors. With each representation, our attorneys work to ensure that matters are addressed practically, efficiently, and in a manner best suited for that client. The Pittsburgh office has an immediate opening for a full-time File Clerk. As a key member of the Firm, this individual will provide administrative support to the Product Liability practice group with primary day-to-day responsibility for organizing, indexing, maintaining, and retrieving information.
Primary Duties and Responsibilities :
Sorting a regular flow of documents by case and by document type from all members. Preparing file folders, creating indexes and databases for the management of large volume cases. Seeking information on short notice across all matters as requested by attorneys. Labeling, indexing, and preparing records for storage. Manage file rooms and organizing files office-wide. Coordinating with secretaries, attorneys, and paralegals for optimization of group filing system. Anticipating upcoming case events, i.e. scheduled depositions and updating the files accordingly for attorney review. General secretarial duties, including drafting, copying, faxing, scanning and filing of incoming and outgoing correspondence and documents. Backup receptionist responsibilities.
Knowledge, Skills and Abilities Required :
Associates Degree preferred with two years clerical or administrative job experience in a professional office environment. Law firm experience a plus, must be familiar with general legal terminology. Strong attention to detail in all work. Ability to manage multiple files and to prioritize workloads to effectively meet all deadlines. Excellent oral and written communication skills with the ability to interact professionally with all levels of management, staff and clients. Forward thinking, organized, and a team player. Ability to independently solve problems and exercise sound judgment with minimal direction. Working knowledge of Microsoft Office products - Outlook, Word, and Excel. Experience with iManage & Prolaw a plus. The client promotes individuality and support diversification.
