This role offers an exciting opportunity to support daily operations, manage vital documentation, and provide exceptional customer service in a fast-paced environment. Your proactive approach and attention to detail will be essential in maintaining accurate records, handling correspondence, and assisting with office management tasks that keep our team productive and focused on our goals. Responsibilities Organize, file, and maintain physical and digital documents to ensure quick retrieval and data integrity Manage the electronic filing of pleadings, motions, orders, and other legal documents with courts; monitor filing statuses; and ensure all accepted filings are properly maintained and distributed to attorneys, staff, and clients as needed. Prepare and draft estate planning documents, including wills, powers of attorney, and related documents, ensuring accuracy and compliance with attorney instructions. Manage incoming calls using multi-line phone systems, providing professional and courteous customer support Assist with front desk duties, greeting visitors and directing them appropriately while maintaining excellent phone etiquette Support bookkeeping activities using TimeSlips, including data entry, invoice processing, and expense tracking Perform clerical tasks such as proofreading, data entry, calendar management, and document preparation with high accuracy Coordinate office supplies inventory and assist with general office maintenance to ensure a well-organized workspace Provide personal assistant support as needed, including scheduling appointments and managing calendars using AbacusLaw Assist the Office Manager with firm operations, including administrative support, internal procedures, special projects, and additional responsibilities as needed to support attorneys, staff, and clients. Skills Strong computer literacy with proficiency in data processing software Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Bilingual abilities are highly valued to assist diverse client needs and enhance communication Exceptional phone etiquette skills with experience handling multi-line phone systems and providing customer support Fast typing skills coupled with attention to detail for accurate data entry and proofreading tasks Proven ability to manage time efficiently while juggling multiple responsibilities in a professional setting This position is an excellent fit for motivated individuals eager to contribute to a well-organized office environment while developing their administrative skills.
