This is an on-site, full-time opportunity supporting a physician expert witness practice within a medical-legal environment focused on complex civil litigation matters. Beverly Hills, CA Primary Responsibilities:
Serve as the first point of contact for all medical-legal and expert witness inquiries from attorneys, paralegals, case managers, and vendors Manage physician expert's calendar including IMEs, depositions, court appearances, record reviews, and meetings Coordinate complex scheduling across attorneys, court staff, and multiple time zones Organize, maintain, and update electronic and physical case files, exhibits, and medical records Utilize case management software (Clio strongly preferred) to track active legal matters Perform conflict checks and maintain accurate logs of case intake and status Prepare, format, and update legal and business documents including CVs, fee schedules, engagement letters, and reports Coordinate travel arrangements including flights, hotels, and ground transportation for legal proceedings Ensure all case materials and testimony documents are prepared in advance of travel and court dates Track physician time for case work, testimony, and travel; prepare and send invoices based on fee schedules and retainers Monitor accounts receivable and follow up on outstanding invoices and retainer replenishments Communicate professionally with attorneys, court personnel, and internal staff regarding case logistics Maintain strict confidentiality of all medical and legal information at all times Perform additional administrative and case management duties as assigned
Qualifications:
Prior experience in a law firm, litigation support, med-legal office, or similar environment strongly preferred Strong proficiency in Microsoft Outlook and/or Google Workspace required Experience with Clio or similar legal practice management software strongly preferred Excellent written and verbal communication skills with a professional phone presence Strong organizational skills with the ability to manage multiple deadlines and priorities Ability to work independently in a fast-paced, high-detail environment High level of discretion and ability to handle confidential medical-legal information Must be able to work on-site in Beverly Hills for the first 2-6 weeks of training

Ability to sit and work at a computer for extended periods Frequent use of computer, telephone, and office equipment Occasional standing, walking, and light lifting of office materials
