Job Description

All applicants for positions assigned to the Police Department will undergo a background investigation. The background investigation consists of a comprehensive police investigation that includes, but is not limited to, a credit review, polygraph, character reference check, and a psychological and medical examination. The Chief of Police shall make official hiring appointments. Under direction, performs various complex office management support functions/duties to division managers and other management staff; provides technical supervision to department office support staff; and performs related duties as assigned. TASKS Compiles information, maintains records, and prepares reports; attends board and commission meetings; documents and transcribes meeting minutes; Reviews finished reports, resolutions, ordinances, and other legal documents for thoroughness, accuracy, formatting, compliance, spelling, grammar, and readability; formats forms, charts, and reports; prints final documents; distributes, organizes, and maintains various administrative, reference, and follow-up files. Provides information that may require elaborate interpretation of City policies and procedures to visitors and staff; provides follow-up on routine inquiries from the public or staff and refers or assists in the resolution of problems; May collect and enter employee timesheets; checks account number charges and time-off requests; files daily attendance reports; schedules requests for leave and vacations; maintains department/division master calendar, sets appointments and meetings; makes reservations for City facilities; centralizes department records, including contracts, project files, department-related documents. Performs functional administrative duties for the department and provides direction and on-the-job training to assigned personnel. May provide technical guidance and input for performance evaluations of department office support staff, as required. Complete other department-related job duties as necessary.
QUALIFICATIONS
Four (4) years of progressively responsible office support experience in a business environment, or two (2) years of experience performing the duties of a Staff Assistant with the City of Inglewood.
KNOWLEDGE, SKILLS, AND OTHER CHARACTERISTICS
Knowledge of modern office methods to include business correspondence and file management, standard business arithmetic, and correct English usage, including spelling, grammar, punctuation, vocabulary; record-keeping, report preparation, and best practice office management techniques; Skilled in preparing detailed reports, meeting minutes, routine business correspondence with minimum instructions and guidance, maintaining confidential data and information, establishing and maintaining effective work relationships with those contacted in the performance of required duties, performing routine duties with accuracy and proficiency, Ability to exercise sound judgment in performing essential duties; effectively problem-solve day-to-day program-related needs, issues, and concerns; demonstrate excellent time management, organizational, and analytical skills; prepare well-organized and accurate documents such as reports, memos, and correspondence; synthesize ideas and factual information into clear and logical written statements; Proficient in using work-related computer applications, including email, word processing, spreadsheets, databases, the internet, and other electronic devices to perform essential job duties.
THE SELECTION PROCESS
Applicants whose experience best meets the city's needs will be invited to participate in the examination for this position. Candidates must have access to a computer with internet, video, and audio capabilities to participate in our examination process. The examination may consist of one or more of the following: (1) Training & Experience Evaluation, (2) Writing Exercise, and (3) Qualifications Appraisal Interview with a panel of subject matter experts. Candidates must receive a score of 70 or higher to have their names placed on the active eligibility list for one year.
