is seeking an Legal Secretary (Litigation) with strong administrative support and organizational skills to provide high level professional support in a fast-paced environment. This role is located in our Los Angeles office and is not a hybrid position. The role is key in managing filings, heavy calendars, coordinating travel, handling expense reports, and answering calls, among other general litigation support responsibilities to ensure efficient and smooth day-to-day operations. The ideal candidate should have excellent oral and written communication skills and be highly motivated and professional.

Responsibilities Preparing, revising, and formatting legal documents. Creating shell documents for pleadings. Managing cases from start-to-finish. Handling calendaring, scheduling and docketing. State and federal court filings. E-filing experience is required. Preparing expense reports, and travel arrangements. Meetings & Calendaring
  • Extensive coordination and scheduling of internal and external meetings, conference calls, and video conference meetings, utilizing Outlook and Zoom; includes arranging for any catering and document distribution.
  • Prioritize Outlook calendar items informing attorneys of meeting changes and keeping them on schedule throughout the day. Travel & Expenses
  • Coordinate domestic and international travel (air, ground, and lodging); manage payment and tracking of meeting and itinerary changes.
  • Compose detailed itineraries for travel and key meetings, print boarding passes and check-in professionals for their flights.
  • Track flights to ensure they are on time and not cancelled.
  • Organize and create expense reports. Daily
  • Answer phones, screen calls, and take messages as appropriate.
  • Maintain documents, records, reports in a discreet and confidential manner.
  • Time entry using ProLaw.
  • Miscellaneous projects and support coverage as needed.
Qualifications Education:
High School diploma required. Bachelor's degree or equivalent work experience preferred. Experience Required
  • Minimum of five years of experience as a litigation legal secretary.
  • Litigation experience in California state and federal court.
  • Understanding of local rule of court, municipal, state, and federal rules of procedures.
  • Advanced proficiency with Microsoft Office including Outlook, Word, Excel, and PowerPoint. General Requirements The ideal candidate should have the following:

  • Excellent writing and communication skills are required.
  • Must be very organized.
  • Ability to manage time and priorities well in a deadline-driven, fast paced department.
  • Excellent problem-solving capabilities, with timely resolution, demonstrating an ability to work independently with limited guidance and exercise independent judgment, including knowing when to elevate concerns or issues.
  • Strong interpersonal skills and ability to multitask.
  • Strong phone etiquette.
  • Technology savvy and willing to learn new systems.
  • Highly responsive and able to work on evenings and weekends when needed to support business needs.
Reporting Relationships This role will report to the assigned lawyers, Firm Administrator, and Human Resources Manager located in the Firm's Los Angeles office. Creating shell documents for pleadings. Managing cases from start-to-finish. Handling calendaring, scheduling and docketing. State and federal court filings. E-filing experience is required. Preparing expense reports, and travel arrangements.
Pay:
$80,000.00 - $90,000.00 per year
