Litigation Legal SecretaryJob Overview We are seeking a highly organized, detail-oriented, and proactive Litigation Legal Secretary to join our dynamic legal team. In this role, you will provide comprehensive administrative and litigation support to attorneys handling civil litigation and probate litigation matters. You will play a critical part in maintaining efficient case management, ensuring accurate and timely document handling, managing complex calendars, and facilitating smooth communication with clients, courts, and opposing counsel. Strong multi-tasking skills and a minimum of two years of litigation support experience are essential. Key Responsibilities Maintain and organize physical and electronic case files with a high level of accuracy and confidentiality using the firm's document management and case management system (Clio). Provide comprehensive litigation support, including preparing and organizing trial binders and exhibits, coordinating witness scheduling, managing court filings, and ensuring compliance with all procedural deadlines and jurisdictional requirements. Manage attorneys' calendars, schedule depositions, hearings, mediations, and client meetings, and proactively resolve scheduling conflicts while keeping all parties informed. Draft, proofread, and format routine legal correspondence, notices, and basic court documents with attention to detail and adherence to firm standards (substantive drafting of pleadings and discovery is minimal and primarily handled by attorneys or paralegals). Coordinate client communications, respond to inquiries professionally, and serve as a liaison between clients, attorneys, court personnel, and external parties. Perform timely and accurate data entry to update case status, deadlines, and matter information in the firm's case management system. Handle all aspects of document production and filing, including e-filing with state and federal courts, service of process coordination, and maintaining organized physical and electronic records. Provide general administrative support, including answering and directing phone calls with professional etiquette, managing incoming and outgoing mail and email, arranging travel when needed, and performing other clerical duties as required. Assist with trial and hearing preparation by organizing materials, preparing exhibit lists, and ensuring all necessary documents and logistics are in place. Maintain strict confidentiality of all client and case information at all times. Qualifications Minimum of two (2) years of experience providing legal administrative or litigation support in a law firm setting, with a strong focus on civil litigation (probate litigation experience is a plus). Exceptional organizational skills and proven ability to multi-task and prioritize in a high-volume, deadline-driven environment. Strong attention to detail and accuracy in document preparation, filing, and data management. Proficiency with case management and document management systems, particularly Clio (or similar platforms). Excellent written and verbal communication skills with professional phone and email etiquette. Demonstrated ability to work independently with minimal supervision while also collaborating effectively as part of a team. Experience with e-filing systems and knowledge of court procedures and deadlines is required. High level of discretion and commitment to maintaining confidentiality. Paralegal certificate or legal administrative training is preferred but not required. Experience supporting attorneys in civil litigation and probate matters is highly desirable.
