Job Description

Overview We are seeking a dynamic and highly organized Legal Secretary/Receptionist to join our law office. This vital role combines front-desk reception duties with comprehensive legal administrative support, ensuring smooth daily operations and exceptional client service. The ideal candidate will be proactive, detail-oriented, and possess a strong understanding of various legal practice areas. This paid position offers an exciting opportunity to work in a collaborative environment where your organizational skills and legal knowledge will make a meaningful impact. Responsibilities Greet clients and visitors professionally, managing all incoming calls with excellent phone etiquette Maintain and organize legal files using document management systems such as MyCase Draft, proofread, and review legal documents including contracts, correspondence, and reports with precision Manage calendar scheduling for attorneys, including court dates, client meetings, and deadlines in a timely manner Conducting initial client intake and gathering basic case information Logging intake notes and client information into the firm's system Attending meetings with clients, taking notes, and helping attorneys prepare follow-up materials or presentations Assisting with shipping, mailing, scanning, copying, and filing Checking the firm mailbox and organizing incoming mail Managing office supplies and helping maintain an organized office environment Supporting event planning and firm-related events Performing general administrative and clerical tasks as needed Skills Strong communication and customer service skills Professional phone etiquette Strong attention to detail and organization Comfortable using computers and Microsoft Office programs, including Word, Outlook, and Excel Ability to multitask and work in a busy office environment Prior law office experience is preferred Experience with MyCase is preferred Bilingual candidates are preferred Exceptional organizational skills to manage multiple priorities effectively in a fast-paced environment Ability to handle confidential information discreetly while maintaining high standards of accuracy and attention to detail Ideal Candidate The ideal candidate is dependable, friendly, professional, and willing to learn. This person should be comfortable communicating with clients, assisting attorneys and staff, and helping the office run smoothly each day.
