Description We are looking for a Litigation Legal Secretary to join a respected civil litigation defense practice in Newport Beach, California. This contract-to-permanent opportunity is ideal for a legal support specialist with relevant experience who thrives in a deadline-driven environment and can manage litigation documentation with precision. The position will work closely with attorneys to keep filings, records, and case materials organized, accurate, and ready for court submission.
Responsibilities:
- Draft, revise, and finalize litigation documents, correspondence, and court-ready materials with careful attention to grammar, formatting, and accuracy.
- Assemble tables of contents and tables of authorities to support complete and properly structured court filings.
- Submit documents through state and federal electronic filing systems within required deadlines and according to jurisdiction-specific procedures.
- Review filing packages to confirm compliance with court rules, formatting standards, and submission requirements before they are sent.
- Provide backup support for tracking litigation deadlines, hearing dates, and other key calendar items when needed.
- Organize and maintain electronic and paper case records so attorneys can quickly access current and historical matter information.
- Assist attorneys with day-to-day administrative tasks that support active litigation matters and overall workflow.
- Coordinate priorities across multiple assignments while responding efficiently to changing deadlines and urgent requests. Requirements
- At least 3 years of experience in a Legal Secretary or comparable legal support role.
- Demonstrated knowledge of electronic filing processes for both state and federal courts.
- Strong ability to format legal documents and prepare tables of contents and tables of authorities.
- Experience using case management or document management systems in a legal environment; familiarity with similar platforms is preferred.
- Excellent organizational skills and a high level of accuracy when handling detailed legal materials.
- Ability to manage competing priorities and meet multiple deadlines in a fast-paced litigation setting.
- Strong written and verbal communication skills, along with the ability to work independently and collaboratively.
- Experience with calendar coordination, court filings, and related litigation support tasks is preferred.
