Job Description

Join Our Team The Luna Firm is seeking a dependable, detail-oriented Document Specialist to join our growing immigration law office. This position is responsible for accurately scanning, organizing, and maintaining client files in our digital filing system. Because our attorneys and paralegals rely heavily on digital files, accuracy and organization are essential. The ideal candidate is someone who enjoys working behind the scenes, takes pride in producing high-quality work, and can stay organized while handling a high volume of documents. Responsibilities Scan client files and legal documents into Google Drive. Ensure all scanned documents are clear, complete, and properly organized. Name and organize files according to firm standards. Perform quality control to verify documents have been scanned correctly and completely. Upload documents promptly so attorneys and paralegals have immediate access to client files. Organize and maintain both physical and electronic client files. Retrieve files and documents for team members as needed. Maintain strict confidentiality of all client information. Assist with general administrative and office support duties. Provide professional and friendly customer service to clients in person and over the phone when needed. Work closely with attorneys, paralegals, and office staff to ensure documents are processed efficiently. Qualifications High school diploma or equivalent. Excellent attention to detail. Strong organizational and time management skills. Ability to work in a fast-paced environment while maintaining accuracy. Basic computer proficiency. Professional communication and customer service skills. Ability to prioritize tasks and meet deadlines. Dependable, punctual, and able to work independently. Ability to speak fluent Spanish. Preferred Qualifications Previous document scanning or records management experience. Experience using Google Drive or other cloud-based document management systems. Experience working in a law office, medical office, or other professional office environment. Bilingual (English/Spanish) is a plus but not required.
