McNamara Smith LLP is a boutique law firm located in downtown San Diego. We focus on civil litigation, white collar criminal defense, and regulatory enforcement, often serving as receivers and monitors. We are seeking a Legal Secretary. This position requires someone who can represent the firm in a highly professional and positive manner while performing multiple job duties. Dependability, strong organization skills, and attention to detail are all vital qualities for any candidate for this position. Our firm recognizes the importance of having a good Legal Secretary and provides an environment where your work and time will be understood and valued.
Responsibilities include:
  • Preparing legal documents, including formatting tables of contents and authorities
  • Maintaining accurate client and case files and other firm records in NetDocuments, the firm's document management software
  • Proofreading documents for spelling, grammar, content, and clarity
  • Electronic and manual filing in federal and state courts in compliance with federal and state court rules
  • Entering billing and expense data in a time-management software
  • Managing and updating the firm's litigation calendar
  • Communicating with government agencies, vendors, banks, and other third parties
  • Preserving the confidentiality of the firm and its clients, and protecting and maintaining highly sensitive confidential, privileged, and/or financial information
  • Answering phones, interfacing with vendors, and greeting clients and visitors
  • Retrieving, sorting, and distributing mail
  • Stocking and maintaining adequate office supply inventory
  • Other tasks as assigned
Qualifications:
You should have a proven record of working in a team environment and the ability to work independently as needed. You must be detail-oriented, have strong computer skills, and be proficient in Windows, Outlook, Word, Excel, and Acrobat Pro. Working knowledge of QuickBooks is a plus. Professional demeanor is required. The ideal candidate will have a bachelor's degree, at least 3-5 years' legal experience, and be able to occasionally lift/carry up to 35 pounds. For a candidate with more experience, a high school degree may be sufficient. You must be a quick learner, a self-starter, and have excellent communication skills and the ability to perform efficiently and accurately. The pay range for this position is $70,000 to $85,000 per year, with some flexibility on the high end for the right candidate. Depending on the firm's and employee's performance, a year-end bonus may be awarded. We offer insurance (health, dental, and vision), a 401(k) plan, annual leave, sick leave, and free parking. While the position is in-office to start, hybrid work may be possible after one year with the firm. We offer candidates a unique experience, providing insight into the day-to-day logistics of an active law firm and related receivership and monitorship practice.
