Job Description
Professional law firm in Downtown San Diego seeking a Trust/Estate Planning Legal Assistant. Key Responsibilities
- Client communication o Answer phones/emails, provide status updates, and coordinate signatures and notarizations.
- Document preparation and filing o Assemble execution copies, oversee signing ceremonies, manage witnessing/notarization, and prepare closing binders and electronic copies.
- Records and file management o Open/close and maintain physical and electronic files, apply naming conventions, and ensure version control. o Manage document management systems; scan, index, and retrieve records; maintain document templates.
- Calendaring and workflow o Manage attorney calendars, ticklers, and task lists; coordinate meetings with clients, fiduciaries, advisors, and courts. o Prepare meeting agendas, exhibits, and follow up notes; track action items to completion.
- Billing and administrative support o Handle mail, copying, supplies, vendor coordination, and office logistics as needed.
- Compliance and confidentiality o Maintain client confidentiality and comply with firm policies and applicable rules. Qualifications
- 1-3+ years of experience in a law firm or legal department; trusts & estates or probate experience preferred.
- Strong drafting, proofreading, and formatting skills (grammar, citations, numbering, TOCs).
- Proficiency with Microsoft 365 (Word, Excel, Outlook), PDFs/e sign tools, and document management systems; experience with court e filing platforms.
- Excellent organization, attention to detail, and deadline management; able to juggle multiple matters.
- Clear, professional communication with clients and third parties (banks, courts, financial advisors).
- Discretion and professionalism handling sensitive information.
