The ideal candidate will be a master coordinator, capable of seamlessly balancing the schedules of our attorneys, opposing counsel, court reporters, and judicial assistants without conflict. Because we handle a substantial caseload, this role requires a professional who thrives on consistent follow-up, possesses a deep understanding of local court procedures, and can independently draft precise, rules-compliant legal notices.
Key Responsibilities Calendar Management:
Take full ownership of the firm's high-volume litigation calendar. Proactively identify and resolve potential scheduling conflicts to maximize attorney efficiency.
Coordinating Depositions & Hearings:
Act as the primary liaison to schedule depositions and hearings. Coordinate directly with judicial assistants, opposing counsel, and court reporting agencies.
Persistent Follow-Up:
Monitor outstanding scheduling requests. Execute consistent, frequent, and professional follow-ups when opposing counsel or third parties fail to respond timely.
Drafting Legal Documents:
Prepare and finalize Notices of Hearing and Notices of Deposition that strictly comply with the Florida Rules of Civil Procedure.
Professional Correspondence:
Compose clear, effective, and persuasive email correspondence communicating the firm's scheduling needs to judicial assistants and opposing counsel.
E-Filing:
Efficiently file notices and legal documents through the Florida Court's E-Filing Portal.
Position Requirements Experience:
Minimum of 5 years of dedicated experience as a litigation assistant or legal secretary in Florida. A proven track record of employment stability and longevity with prior firms is strictly required. Candidates with a history of frequent job-hopping will not be considered.
System Proficiency:
Proven, hands-on experience navigating the Dade County (Miami-Dade) and Broward County Court MAP and CMS systems , as well as the Florida E-Filing Portal .
Organizational Skills:
Exceptional organizational ability with a proven track record of managing high-volume tasks without letting details slip through the cracks.
Communication:
Elite verbal and written communication skills; ability to maintain a professional, firm, yet polite demeanor in all correspondence.
Procedural Knowledge:
Strong working knowledge of Florida Rules of Civil Procedure regarding deadlines and notice requirements.
Pay:
$55,000.00 - $70,000.00 per year
