Job Description

Bilzin Sumberg is seeking an experienced Legal Secretary to support attorneys in our Environmental, Land Development & Government Relations group. The ideal candidate will have a minimum of 7 years of legal experience, preferably within a large law firm or real estate, land use, or government-facing practice. Candidates must be highly organized, detail-oriented, and comfortable working in a fast-paced, client-facing environment. Responsibilities include, but are not limited to: Manage a complex and dynamic calendar, including scheduling and coordinating meetings with clients, municipal officials, and regulatory agencies Track and calendar key deadlines, public hearings, and commission meetings across federal, state, county, and local jurisdictions Coordinate logistics and prepare materials for public hearings, agency meetings, and community presentations Maintain detailed tracking systems for development projects and regulatory matters through various stages of the approval process Conduct research on agency websites to obtain status updates on applications, permits, and related matters Coordinate with external consultants, including planners, engineers, and environmental specialists Prepare and submit conflict checks using Sunbiz and Property Appraiser resources Serve as a liaison between attorneys, clients, and internal departments to ensure seamless communication and workflow Responsible for answering and managing a high volume of phone calls with professionalism and attention to detail Maintain and organize both electronic and physical files in accordance with attorney preferences Assist with lobbyist registrations and related compliance requirements across municipalities Manage expense reimbursements and administrative support tasks as needed Comfortable working in a fast-paced environment where priorities may shift throughout the day, including handling urgent assignments at the end of the day that may require overtime Interested candidates should submit a resume and cover letter to Jackie Gallego, Chief Human Resources Officer.
