Job Description

Ponte Vedra Beach:
Well established and respected law firm looking for a professional, dependable and detail-oriented office assistant to provide administrative support for busy office and legal assistant support for attorney in estate planning department. The position requires a high degree of flexibility and adaptability. Candidates should also be comfortable multi-tasking and have the ability to take initiative and work independently while performing as part of a team. Looking for someone with a professional demeanor and pleasant personality with the ability to work closely with co-workers and interact with clients. Applicant needs to be extremely organized, meticulous to detail with an impeccable work ethic. The candidate should have a strong background in a customer service driven environment, and be able to perform basic administrative tasks. Position involves some receptionist duties on an as needed basis (provides back up to reception for breaks/lunches). The position requires the ability to perform duties of a responsible and confidential nature, to organize and expedite workflow of lawyer/legal staff members. Candidates must maintain positive contact with clients, attorneys and staff and observe confidentiality of client matters. This position requires the ability to meet challenges that lie beyond their current job responsibilities and ability to solve problems creatively with little or no supervision. Creates, organizes and maintains files; file documents as requested and retrieve documents from files when needed. Conducts periodic review for possible storage of old files; prepares files to be closed. Position is responsible for a law firm's file room by managing files and associated information. This includes the accurate and timely response to all file requests and coordinating the flow of records as required. Any experience in document management and scanning is helpful. Perform special projects for attorneys Photocopy and scan documents as requested Prepare materials for distribution via U.S. mail, fax, courier, messenger, etc.; Receive, open, prioritize and distribute incoming mail. Other duties as assigned. Must possess good verbal and written communication skills, organization skills, prioritization/time management skills, and work effectively under stressful conditions.
REQUIREMENTS
Applicant must be over the age of 18. Applicant must have a valid Driver's License. Applicant must have 1 year of administrative assistant or general law firm experience. Applicant must have at least 3 years of experience with Microsoft Office suite. This is a full-time position with full benefits. Candidate should be able to work 7.5 hours per day, Monday-Friday. The employee must frequently lift and/or move boxes that weigh 50 pounds.
