Responsibilities Manage and maintain legal case files using document management systems such as iManage and PCLaw, ensuring accuracy and confidentiality. Draft, review, proofread, and edit legal documents including contracts, pleadings, correspondence, and reports with precision and attention to detail. Conduct comprehensive legal research utilizing Westlaw, LexisNexis, and other research tools to support case development across multiple practice areas such as estate planning, environmental law, family law, securities law, workers' compensation law, personal injury law, tribal law & regulations, patent law, and more. Assist attorneys with legal case management by organizing files, tracking deadlines, and preparing for hearings or meetings. Perform data entry and document review tasks efficiently while maintaining high standards of accuracy. Coordinate client interviews and facilitate communication between clients and attorneys to gather pertinent information for cases involving landlord-tenant law, immigration law, litigation matters, or other legal issues. Provide executive administrative support including scheduling appointments, managing calendars, answering phones with professional etiquette, and handling correspondence promptly. Support the firm's administrative functions by maintaining filing systems (both physical and electronic), managing incoming calls professionally, and ensuring all administrative tasks are completed in a timely manner. Skills Proven experience as a Legal Secretary or in a similar legal administrative role with familiarity in legal case management systems such as iManage and PCLaw. Strong knowledge of various practice areas including estate planning, environmental law, family law, securities law, workers' compensation law, personal injury law, tribal law & regulations, patent law; ability to adapt to different legal contexts. Excellent research skills utilizing Westlaw and LexisNexis for comprehensive legal research. Exceptional drafting skills for contracts, pleadings, correspondence, and other legal documents; meticulous proofreading abilities. Proficiency in document review processes and familiarity with document management systems. Effective project management skills to handle multiple cases simultaneously while meeting deadlines. Superior organizational skills with keen attention to detail; ability to prioritize tasks efficiently. Strong interpersonal skills including interviewing clients professionally and maintaining excellent phone etiquette. Experience supporting attorneys with litigation preparations or complex case files is highly desirable. Ability to transcribe dictations accurately and perform data entry with precision; familiarity with transcription tools is a plus.
