Job Description:
The Intellectual Property Service Assistant (IPSA) provides support to attorneys, and paralegals in the Intellectual Property (IP) Litigation practice group and ensures all day-to-day responsibilities are met while exercising discretion and confidentiality. The IPSA is responsible for assigned IP litigation matters, including matters pending before the United States International Trade Commission (ITC), federal district courts, PTAB, and the Court of Appeals for the Federal Circuit. There is an annual billing requirement for this position.
Essential Duties and Responsibilities:
Ensure compliance with daily policies and procedures related to assigned duties, following established firm guidelines. Prioritize and manage daily tasks and communicate any inability to meet responsibilities. Provide coverage and assist Paralegals with various paralegal overflow tasks, including after-hours and weekend coverage when necessary. Assist in the management and review of source code in intellectual property litigation, including organizing, indexing, and maintaining source code repositories, and coordinating with technical experts to ensure accurate and efficient analysis. Create shells for pleadings, motions, briefs, contentions, discovery requests/responses, expert reports, and pre-trial submissions. Responsible for the shipping of outgoing mail to experts and the courts. File motions in District Courts, demonstrating preparedness and professionalism with Docket Clerks and other court personnel. Prepare binders for exhibits to be used at depositions, hearings, and trials; create slip sheets and redact information as directed. Organize and maintain an electronic index of discovery, deposition documents, pleadings, motions, and other case-related documents. Manage and maintain electronic case databases for all case documents throughout litigation, including Relativity, OneNote, local case network drives, and iManage. Create and maintain an appendix of claim construction, documenting terms, proposals, proposed construction, and supporting evidence for both complainant and respondent. Draft, edit, and proofread correspondence and legal documents. Contribute and share agenda items for discussion at weekly IP meetings. Record billable and non-billable hours in the firm's time entry database. Assist in deposition preparation, including Relativity review, printing, and indexing of materials. Respond to internal and external case inquiries promptly and seek feedback/follow-up as appropriate. Assist in the preparation and filing of case documents, including pleadings, discovery requests, discovery responses, case correspondence, motions, expert reports, briefs, pre-trial filings, and post-trial filings; file legal documents for counsel via EDIS and Pacer. Manage internal and external case calendars and deadlines, including the scheduling of discovery, depositions, and court-ordered and local district rule deadlines. Learn to file on e-filing court platforms, including
USPTO PATENT
CENTER, CM/ECF, USITC, EDIS, and PTAB. Manage trial preparation phases, including vendor correspondence, and maintenance of electronic exhibits and war room sets. Maintain effective communication with clients while observing the confidentiality of the attorney-client relationship.
Knowledge, Skills, and Abilities:
Knowledge of local court, judges and federal rules of civil procedure. Ability to read and comprehend materials involving legal and technical matters. Strong attention to detail, with the ability to compose, review, and proofread all work for spelling, grammar, and accuracy. Excellent oral and written communication skills, including excellent proofreading skills. Interpersonal and communication (written and verbal) skills necessary to communicate and follow instructions effectively from a diverse group of attorneys and staff and provide information with professional courtesy and tact; communicate with various personalities at all levels within the Firm as well as clients and others from outside of the Firm; and communicate by phone and provide information with professional courtesy and tact. Strong organizational skills. Able to work well independently and with others to manage daily priorities while meeting and accomplishing goals. Effective time management and project management skills in a fast-paced environment; make productive use of working hours through ability to organize and prioritize multiple tasks and use own judgment in decision making on how to adequately and efficiently meet all deadlines. Keen sensitivity to urgent attorney requests. Ability to exercise discretion and confidentiality in maintaining firm and client information. Flexibility to manage demands outside of traditional business hours. Willingness to seek out and accept new responsibilities including professional development opportunities to enhance skills. Proficient knowledge of Microsoft Office applications, including but not limited to Word (e.g., styles, macros, tables), Excel, and PowerPoint as well as an advanced knowledge of Microsoft Outlook. Proficient knowledge of Relativity beneficial. Preferred knowledge of the following commercial databases: Lexis, Westlaw, along with the following government databases:
USPTO PAIR, CM/ECF, USITC EDIS.
Education and/or
Experience:
Bachelor's degree or equivalent experience in a law firm or similar professional services environment. Minimum two (2) years of Intellectual Property litigation experience preferred. Hiring Salary Range:
