Job Description

Overview We are seeking a dynamic and highly organized Legal Secretary/Receptionist to join our busy firm and our front office staff. This vital role combines front-desk reception duties with comprehensive legal administrative support, ensuring smooth office operations and exceptional client service. The ideal candidate will be proactive, detail-oriented, and possess a strong understanding of various legal practice areas. Duties Greet clients and visitors warmly, managing all front-desk interactions with professionalism and courtesy Answer incoming calls promptly, directing inquiries to the appropriate attorneys or departments Conduct intakes for potential clients Manage legal case files using document management systems such as Clio andPCLaw, ensuring accurate filing and retrieval Perform data entry tasks related to case management systems and maintain meticulous records of client information and legal documents Support attorneys in project management tasks related to litigation. Conduct document review and assist with legal research to ensure compliance with relevant laws such as workers' compensation or patent law Transcribe dictations accurately and handle administrative duties such as filing, photocopying, and managing office supplies Requirements Proven experience as a legal secretary or administrative assistant within a law office environment Strong knowledge of legal vocabulary Proficiency in legal case management software such as PCLaw, Clio and document management systems Exceptional organizational skills with the ability to manage multiple priorities efficiently Outstanding written communication skills for drafting legal documents and correspondence Superior proofreading abilities to ensure accuracy in all legal materials Effective phone etiquette combined with professional interpersonal skills for client interactions Ability to handle confidential information discreetly while maintaining high levels of accuracy in data entry and filing tasks Strong clerical experience including filing, data entry, scheduling appointments, and managing office supplies Join our team where your expertise will support our mission to deliver exceptional legal services across diverse practice areas.
