This vital role offers an exciting opportunity to support attorneys across their practice areas. As a Legal Secretary, you will be the backbone of our legal operations, ensuring smooth administrative workflows, meticulous document management, and effective communication within the firm. Your proactive approach and legal administrative expertise will contribute significantly to delivering exceptional service to our clients and maintaining the high standards of our legal practice. What you'll do Provide comprehensive executive administrative support to attorneys, including calendar management, scheduling meetings, and coordinating court dates or client appointments Prepare, review, and proofread legal documents such as contracts, pleadings, discovery materials, and correspondence with precision and attention to detail Manage legal case files using document management systems like NEO's and Salesforce, ensuring all records are accurate, organized, and up-to-date Conduct legal research to support case preparation across personal injury law cases Review documents for accuracy and compliance; perform data entry and filing in accordance with firm protocols Assist with client interviews by gathering pertinent information efficiently and professionally Support attorneys in project management tasks related to litigation or regulatory compliance efforts Handle incoming calls with professionalism and excellent phone etiquette; relay messages promptly and accurately Transcribe dictations or notes as needed for legal documentation or correspondence Requirements Proven experience as a Legal Secretary or in a comparable legal administrative role within a busy law office environment Strong knowledge of legal procedures across multiple practice areas, but ideally, personal injury Familiarity with legal research tools such as Westlaw and LexisNexis; experience with legal case management software like iManage or PCLaw is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Exceptional writing skills for drafting correspondence and legal documents; keen proofreading abilities to ensure accuracy Proficiency in document review processes and familiarity with document management systems for efficient workflow management Strong clerical skills, including data entry, filing, photocopying, and maintaining meticulous records Effective communication skills coupled with professional phone etiquette Ability to handle multiple deadlines while maintaining high-quality work standards Paralegal experience or certification is a plus, but not required Join us to be part of a vibrant team where your expertise will help shape successful legal outcomes.
