This is an exciting opportunity to support one of the fastest-growing law firms in the country (as ranked by Inc. Docketing Clerk will possess experience and knowledge in litigation calendaring systems, electronic filing in state and federal courts and web-based research skills.
Job Summary:
The Docket Clerk is responsible for managing and maintaining the firm's calendaring and deadline systems to ensure all court deadlines, filing deadlines, hearings, appearances, and client-related deadlines are accurately tracked, communicated, and completed timely. This role serves as a critical risk-management function designed to reduce malpractice exposure, missed deadlines, and procedural errors. The Docket Clerk partners closely with attorneys, paralegals, legal support staff, practice administrators, and firm leadership to support case lifecycle management and procedural compliance.
Core Responsibilities:
1. Deadline Management & Docketing a. Review all incoming court filings, notices, scheduling orders, correspondence, and legal documents for deadlines and appearance dates. b. Calculate deadlines using jurisdiction-specific rules, statutes, local court rules, and firm protocols. i. Calculate deadlines using 1. applicable court rules, 2. local rules, 3. scheduling orders, 4. statutes, 5. judge-specific rules where applicable. ii. Apply 1. weekends, 2. holidays, 3. time-computation rules, 4. electronic filing cutoffs, 5. jurisdiction-specific rules. iii. Track 1. primary deadlines, 2. advance reminder dates, 3. internal pre-deadlines. c. Enter all deadlines into the firm's centralized docketing/calendaring system. d. Apply redundancy systems (primary and secondary calendar systems where applicable). e. Update deadlines when continuances, adjournments, or amended court orders are received. Search, retrieve and download online court dockets and filed documents as requested. 2. Calendar Oversight a.
Maintain attorney calendars for:
i. Hearings ii. Depositions iii. Mediations iv. Trial dates v. Filing deadlines vi. Client meetings vii. Other applicable tracked deadlines including file audits, firm admin as needed. b. Verify attorney availability and identify conflicts. c. Escalate scheduling conflicts immediately to supervising attorneys/management. 3. Daily Deadline Audits a. Perform daily upcoming deadline reviews (5/7/14/30-day look-ahead) b. Perform same-day deadline verification. c. Audit missed/at-risk deadline escalation reviews d. Send out daily deadline reminder notices to assigned teams. e. Perform other duties as assigned. 4. Risk Management / Compliance a. Monitor compliance with internal calendaring SOPs. b. Document all changes and updates for audit purposes. c. Participate in malpractice prevention initiatives. d. Escalate unworked or unclear deadlines immediately. Flag and coordinate coverage in the event an attorney is out of the office. Provide instruction to other staff in electronic filing rules and procedures. Consult with staff and attorneys to ensure compliance with court rules and procedures. 5. Daily Reporting of Deadlines a. Daily report developed for Practice Heads of pending deadlines for next 7 business days. b. Daily report of any "At-Risk" deadlines needing to be addressed by Practice Head with assigned attorney and practice administrator. c. Daily report of any missed deadlines discovered with full AAR write up. d. Trend reporting of scheduling risks for each legal team
Skills and Qualifications:
1. Required Attributes a. Minimum of 3 years of prior docketing/calendaring experience in a law firm or legal services environment required, with demonstrated experience managing high-volume litigation and transactional deadlines. b. Strong understanding of court rules, filing deadlines, statutes of limitation, scheduling orders, and procedural deadlines across state and/or federal courts. c. Experience maintaining and updating legal calendaring and docketing systems. d. Ability to accurately calculate, interpret, and enter deadlines based on court rules, local rules, and attorney directives with exceptional attention to detail. e. Strong working knowledge of various state, federal, and administrative court systems, including electronic filing systems such as PACER and CM/ECF. f. Excellent organizational and time-management skills, with the ability to manage multiple competing priorities and urgent deadlines in a fast-paced environment. g. Proven ability to identify at-risk or conflicting deadlines and proactively escalate issues to attorneys, paralegals, and firm leadership. h. Strong written and verbal communication skills; ability to communicate clearly and professionally with attorneys, legal staff, and court personnel. i. High degree of accuracy, confidentiality, and accountability when handling sensitive legal matters and client information. j. Advanced proficiency in Microsoft Office, particularly Outlook, Excel, and Word. k. Ability to work both independently and in collaboration with attorneys, paralegals, and legal support teams. l. Familiarity with standard operating procedures (SOPs), deadline escalation protocols, and risk mitigation processes within a law firm setting preferred. m. Experience supporting multiple attorneys and practice groups simultaneously in a deadline-driven environment strongly preferred. 2. Technical Skills a. Proficiency in legal docketing and case management; b. Strong knowledge of Microsoft Office Suite, especially Microsoft Excel and Microsoft Outlook; c. Familiarity with electronic court filing systems (state and federal); d.
PACER/ECF
systems; e. Multiple state e-filing systems; f. document management systems; g. litigation support platforms. 3. Core Competencies a. Exceptional attention to detail and accuracy; b. Strong organizational and time management skills; c. Ability to prioritize multiple deadlines in a fast-paced environment; d. Analytical thinking and problem-solving ability; e. Strong written and verbal communication skills; f. Ability to work independently with minimal supervision; g. High level of confidentiality and professionalism; h. This position Requires access to software programs and other data that cannot be accessed outside of the firm's secure informational network that is exclusively housed in the workplace. i. All entries shall be entered promptly and accurately. 4. Legal Knowledge a. Understanding of court rules, filing procedures, and legal terminology; b. Knowledge of litigation timelines and procedural deadlines; c. Experience calculating deadlines using court rules and statutes. d. 5. Education Minimum 4-year degree in legal studies, business, or a related field; paralegal certification preferred.
Salary:
The salary offered will be based on the length and relevance of the candidate's work history and the skills developed through their professional experiences. The compensation offered for this position is $65,000-$80,000 per year, based on experience.
