ESSENTIAL DUTIES AND RESPONSIBILITIES

Maintains strict confidentiality of all sensitive data to which employee may acquire knowledge. Responsibilities include drafting and editing legal documents, managing case files, conducting legal research, coordinating with clients and witnesses, and assisting with trial and hearing preparation. Strong organizational skills, computer literacy, and familiarity with court rules and procedures are essential. Assumes general secretarial duties for the Assistant General Counsels including, but not limited to, typing, submitting check requests, filing, faxing, transcribe, answering telephones, composing correspondence, finalizing correspondence, arranging travel schedules, sorting, indexing, and cataloging mail, research, copy, email, mail or fax cases for use by representatives and/or regional directors. This role requires the ability to work independently in a fast-paced environment while maintaining a high level of accuracy and promptness. Managing attorney calendars and case files, tracking deadlines, and ensuring timely filings. Maintains legal, chron, and expense files, including archived closed files. Ensures that the attorneys are in compliance prior to appearing for arbitration or litigation by providing the rules of the court, filing completed documents properly and on time, and providing a list of who is going to appear. Reviews the strike sanction requests to determine if they conform to the established policies and procedures of the International, prior to attorney review. Initiates contact with the local union to facilitate corrections, if necessary. Reviews Bylaw amendment revisions from local unions to ensure the changes do not conflict with existing language. Reviews merger agreement to ensure proper procedure, satisfactory documentation, and coordinates the approval process between the Council President and UFCW President. Reviews dissolution documentation to ensure proper procedure, satisfactory documentation, and coordinates the approval process between the Council President and UFCW. Processes requests for arbitrator panels. Prepares and timely submits the Legal Board Report to the ICWUC E-Board. Assist the attorneys in recording and submitting expenses reports. Knowledge of court and NLRB e-filing system, including Pacer. QUALIFICATIONS

Education and/or Experience Prior legal secretarial and/or paralegal work experience preferred. Secretarial Skills Keyboarding:
65 words per minute. Ability to transcribe and format legal and other documents. Computer/Software Skills Ability to organize and prepare complex documents requiring the integration of multiple office technologies and software including word processing applications. Communication Skills Professionally compose correspondence, spell correctly, and use proper grammar and punctuation. Ability to comprehend complex concepts and legal terminology. Ability to interpret ab extensive variety of instructions given in legal terminology, especially as those instructions refer to retrieving and filing documents. Ability to demonstrate oral and written skills and maintain a professional, efficient, and pleasant telephone demeanor while communicating with membership, elected union officers, employees, local counsel and others. Other Knowledge/Skills/Abilities Required Possess excellent organizational skills and prioritize work assignments with little or no supervision. Must have initiative and the desire to learn. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to define problems, collect data, establish facts, and draw valid conclusions. Job Demands Pace of work can vary from moderate to hectic and extremely demanding, as the job duties are very diverse, varied, and very intense at times. Deadlines are very common. While they are predictable to a degree, sometimes they are subject to abrupt changes which are required by agencies or circumstances outside the control of the legal department. Working Conditions The work is performed in a normal office environment. The noise level in the work environment is usually moderate. Physical Demands This position involves, but not limited to, written and oral communications skills, use of computer keyboard, close vision, sitting for long periods, stooping, bending and reaching.
