About the Role As a Legal Secretary, you will play a critical role in supporting attorneys, paralegals, clients, and office operations. This position combines front-office hospitality, legal administrative support, organization, communication, and document management. You will regularly assist with intake, client communication, document preparation, courthouse coordination, scheduling, and maintaining organized workflows that keep matters moving efficiently. This position is based in our Newark, Ohio office and requires someone who is dependable, adaptable, detail-oriented, and comfortable working with both in-person and remote teams. Key Responsibilities Greet clients and visitors professionally and create a welcoming office environment Assist with client intake and routing incoming calls Coordinate appointments and scheduling logistics Prepare, organize, scan, file, and manage legal documentation Assist with signings, notarizations, and witnessing documents Draft correspondence and documents using approved templates Communicate with clients, courts, government offices, and other law firms Prepare outgoing mail and process incoming mail Assist with courthouse filings, recordings, auditor submissions, and governmental office coordination Maintain organized client files and documentation systems Support billing processes and assist with billing communication Complete office errands and operational support tasks as needed Assist attorneys and paralegals with administrative and workflow support Follow and implement evolving EQUES® systems and procedures What Success Looks Like Successful team members in this role are: Organized and proactive Calm under pressure Excellent communicators Detail-oriented and process-driven Comfortable managing multiple priorities Adaptable to changing needs and systems Team-oriented and collaborative Professional and client-focused Motivated to continuously learn and improve What We're Looking For Strong communication and interpersonal skills Excellent organizational abilities and attention to detail Comfort with technology and learning new software systems Ability to work independently and as part of a team Professionalism and confidentiality Ability to manage deadlines and prioritize effectively Willingness to obtain Notary certification if not already licensed Prior administrative, legal, or office experience preferred but not required Why Join EQUES®?
