The Lynch Law Group Reception & Records Clerk Are you Are you looking to work for one of Pittsburgh's "Fastest Growing Companies" and "Best Places to Work?!" The Lynch Law Group is searching for a receptionist to join our Team!
POSITION SUMMARY
The Reception & Records Clerk plays a vital role in ensuring the smooth daily operation of the Firm. This position serves as the first point of contact for clients and visitors while also providing administrative support through document management, file organization, court filings, and general office operations. The ideal candidate is professional, organized, detail-oriented, and capable of managing multiple responsibilities in a fast-paced environment.
JOB DUTIES
Responsibilities include, but are not limited to, the following: Welcome clients and visitors and provide a positive and professional first impression of the Firm. Answer, screen, and direct incoming phone calls in a courteous and professional manner. Assist clients and visitors with locating meeting rooms and legal team members. Maintain the reception area's cleanliness and professional appearance at all times. Sort, organize, scan, copy, index, and file legal documents in both paper and electronic formats. Enter and maintain file information within the Firm's database. Prepare files for offsite storage and retrieval. Travel to local courts and government offices to file and retrieve legal documents as needed. Receive, sort, and distribute incoming mail, deliveries, and faxes. Prepare meeting rooms and arrange refreshments when necessary. Assist attorneys and administrative staff with special projects and other administrative tasks as assigned.
REQUIREMENTS
High school diploma or equivalent; additional certifications or relevant coursework are a plus. Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. Prior law firm experience is preferred but not required. Excellent written and verbal communication skills. Strong organizational, time management, and multitasking abilities. Detail-oriented with a high degree of accuracy. Strong interpersonal skills and the ability to interact professionally with clients, attorneys, and staff. Ability to work independently and collaboratively within a team environment. Valid driver's license and reliable transportation for local court filings and errands. Ability to lift and carry items weighing up to 25 pounds.
