LEGAL SECRETARY - LITIGATION

We are seeking a motivated, detail-oriented Legal Secretary to support our Litigation Department in our Avon office while also serving as the back-up to our primary Docket Clerk. Position Information:
M-F; 8:00 a.m. - 5:00 p.m.; one-hour lunch Hybrid work from home policy (up to 2 days/week WFH, if desired after training) $26.50 - $33.50 per hour, commensurate with experience. Employer paid Short-Term Disability and Group Life Insurance Health insurance, voluntary dental, vision, long-term disability, and additional life insurance. Healthcare and Dependent Care Flexible Spending Account Plans 401(k) with 3% employer contribution after six months of employment. Dress code for this position is business casual with a strong emphasis on "business."
Job Duties:
Primary Responsibilities - Legal Secretary Prepare, proofread, revise, and finalize litigation documents, including correspondence, pleadings, complaints, motions, briefs, appellate filings, discovery, and other legal documents at the direction of attorneys. Transcribe dictation and handwritten notes accurately and efficiently. Communicate professionally with clients, courts, opposing counsel, and other parties by telephone, email, and mail. Prepare, copy, scan, organize, and electronically file documents as needed. Maintain client files and ensure the accuracy and confidentiality of all information. Perform all duties in compliance with applicable laws, court rules, legal ethics, and Firm policies. Perform other administrative and legal support duties as assigned. Secondary Responsibilities - Back-up Docket Manager Review court filings, notices, orders, and other legal documents to identify and accurately calendar deadlines, court appearances, and other critical dates within the Firm's docketing software. Monitor the daily docket report to ensure deadlines are met and follow up on outstanding items as necessary. Research and apply applicable court rules, statutes, local rules, and jurisdiction-specific procedures to ensure accurate docketing and compliance. Prepare and submit electronic court filings in a fast-paced, high-volume legal environment. Provide docketing support during absences of the primary Docket Manager and assist with other docketing-related responsibilities as needed.
Qualifications:
High school diploma or GED required. Minimum of two years of secretarial experience; legal secretarial experience preferred. Experience in civil litigation or legal docketing is a plus, but we are willing to train a motivated candidate. Ability to perform the essential functions of the position, with or without reasonable accommodation. Strong computer proficiency, including Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and Windows 11. Experience with ProLaw is a plus but not required; training will be provided. Comfortable working in a structured environment with established procedures and attention to detail. Excellent written and verbal communication, organizational, time management, and project management skills. Strong judgment, initiative, and ability to prioritize multiple responsibilities in a fast-paced environment. Able to quickly learn new information, follow written and verbal instructions, and work both independently and collaboratively. Manual dexterity sufficient to operate a computer and other standard office equipment.
