As the real estate practice continues to grow, the firm is expanding its Real Estate Dispute Management function to improve consistency, workflow management, documentation, communication, and operational oversight across a high-volume portfolio. This role serves as the operational center of a large real estate dispute portfolio, ensuring that matters are properly documented, tracked, escalated, and coordinated from intake through resolution. Success is measured not only by organization and accuracy, but by the ability to create consistency across workflows, maintain strong stakeholder relationships, and ensure that attorneys and client teams have the information they need to make informed decisions. In this role, you will manage dispute tracking systems, coordinate communication among property managers, tenants, attorneys, and outside counsel, monitor deadlines and procedural milestones, organize documentation, prepare reports, and support litigation management efforts. You will oversee dozens of active matters simultaneously while maintaining professionalism, responsiveness, and attention to detail. You will work closely with attorneys, client stakeholders, and outside counsel to ensure disputes move forward efficiently and that important issues are identified early and escalated appropriately when necessary. The right person for this role enjoys creating order from complexity. You take ownership of your work, stay organized under pressure, communicate clearly, and naturally look for opportunities to improve workflows and increase operational efficiency. You are comfortable managing large volumes of information, balancing competing priorities, and operating independently while exercising sound judgment about when escalation or attorney involvement is required. This position offers a unique opportunity to work directly with firm leadership while serving as a key operational partner to a major real estate portfolio. You will have significant visibility into how property management operations, dispute resolution, litigation support, client service, and legal strategy come together within a growing practice. As the Real Estate Dispute Management function continues to evolve, this role will play an important part in building scalable systems, reporting structures, and operational processes that support long-term growth. Key Attributes to Succeed Operational Ownership You take full ownership of assigned disputes from intake through resolution, ensuring nothing is missed in the process. In this role, that means proactively tracking case progress, anticipating next steps, and stepping in before issues escalate or deadlines are at risk. Organizational Excellence You are able to manage a high volume of active disputes simultaneously without losing clarity or accuracy. In practice, this means maintaining reliable tracking systems, keeping case files current, and ensuring attorneys and stakeholders always have accurate, up-to-date information. Stakeholder Management You serve as a key point of coordination between property managers, tenants, attorneys, and outside counsel. This requires clear, timely, and professional communication to ensure alignment, prevent breakdowns in information flow, and keep all parties moving toward resolution. Systems Thinking You actively improve how work is organized and tracked across the portfolio. In this role, that includes identifying gaps in workflows, improving documentation practices, refining reporting structures, and helping build scalable systems as case volume grows. Judgment and Discretion You make informed decisions about when to resolve issues independently and when to escalate to attorneys or leadership. This shows up in how you triage disputes, prioritize urgent matters, and ensure sensitive issues are handled appropriately and consistently. Adaptability You operate effectively in a fast-moving environment where priorities shift frequently. In practice, this means adjusting quickly to new disputes, changing deadlines, and evolving client needs while maintaining accuracy, responsiveness, and composure. Required 3+ years of experience in legal operations, litigation support, case management, dispute coordination, property management operations, claims administration, or a related field Strong organizational and project coordination skills Ability to prioritize work, meet deadlines, and manage competing demands Professional judgment when handling sensitive or confidential information Excellent written and verbal communication skills Proficiency with Microsoft Office, Google Workspace, case-tracking systems, and project-management tools Preferred But Not Required (Nice to Have) Property management experience Landlord-tenant, unlawful detainer, habitability, or real estate dispute experience Litigation support or legal operations experience Experience coordinating with outside counsel Experience reviewing invoices, legal billing, or litigation expenses Paralegal or legal assistant background This is a full-time hybrid position based in Escondido, California, with an anticipated schedule of four days onsite and one remote workday per week. We offer competitive compensation and professional growth opportunities, as well as the ability to work closely with experienced legal and real estate professionals. The base salary range for this role is $70,000-$100,000 annually, depending on experience, operational expertise, litigation support background, and overall alignment with the needs of the role. This position may also be eligible for a discretionary performance bonus tied to operational efficiency, workflow optimization, portfolio support, and overall contribution to firm objectives. The interview process includes an initial screening interview followed by multiple stages focused on communication, operational judgment, stakeholder management, organization, professionalism, and dispute-management aptitude. Final candidates will complete a hiring exercise involving the development and presentation of a proposed 90-day operational success plan. This exercise is designed to evaluate prioritization, workflow design, escalation judgment, communication style, process improvement thinking, and the ability to support a high-volume real estate dispute portfolio.
