Job Description

Job Overview I am seeking a highly organized and detail-oriented Legal Secretary/Paralegal to join my law practice. This role offers an exciting opportunity to support a diverse range of legal practice areas, including estate planning, civil suits and real estate transactions. The ideal candidate will be proactive, possess excellent research and drafting skills, and have a passion for delivering exceptional legal administrative support. In this position, you will play a vital role in managing case files, preparing legal documents, conducting research, and ensuring smooth office operations. Responsibilities Provide comprehensive administrative support to the attorney across multiple practice areas, including document preparation, filing, and data entry. Conduct legal research LexisNexis, and other legal research tools. Manage legal case files. Draft, review, proofread, and edit legal documents including contracts, pleadings, correspondence, and reports with precision. Assist with client interviews and gather relevant information for case assessments; maintain confidentiality at all times. Support litigation processes by reviewing documents for relevance and accuracy; prepare discovery materials as needed. Coordinate with clients, attorneys, courts, and external agencies to schedule meetings, court dates, and depositions efficiently. Maintain organized physical filing systems; ensure compliance with firm policies and legal standards. Perform general clerical duties such as typing, answering phones with professional etiquette, managing calendars, and handling incoming correspondence. Qualifications Proven experience as a paralegal or legal secretary within a law office setting; familiarity with multiple practice areas including estate planning, civil litigation and real estate transactions. Strong knowledge of legal research tools such as LexisNexis. Excellent writing skills with the ability to draft clear legal documents; strong proofreading and transcription abilities. Demonstrated organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment. Experience with legal administrative tasks such as filing, data entry, document review, contract preparation, and case management. Familiarity with project management principles; ability to coordinate schedules and meet deadlines consistently. Exceptional communication skills coupled with professional phone etiquette; ability to interact effectively with clients and team members. Proficiency in Microsoft Office Suite (Word, Outlook) and other relevant software applications used within the firm's workflow. Must have excellent typing skills. Small office setting.
