Job Description

Job Overview We are seeking a dynamic and highly organized Legal Secretary/Receptionist to join our busy law firm. This role offers an exciting opportunity to support our legal team with administrative excellence, ensuring smooth daily operations and exceptional client service. The ideal candidate will be proactive, detail-oriented, and possess a strong understanding of various legal practice areas including estate planning, environmental law, family law, litigation, and more. Your energetic approach will help foster a professional and welcoming environment for clients and colleagues alike. Responsibilities Manage front desk operations by greeting visitors, answering phones with professionalism, and directing inquiries efficiently. Provide comprehensive administrative support to attorneys, including scheduling appointments, managing calendars, and coordinating meetings. Prepare, review, and proofread legal documents such as contracts, pleadings, reports, and correspondence with accuracy and attention to detail. Assist with document review, data entry, filing, and transcription tasks to streamline case workflows. Support project management initiatives related to litigation, estate planning, or other legal matters by coordinating tasks and tracking deadlines. Maintain excellent phone etiquette while handling client inquiries professionally and courteously. Provide administrative support to attorneys and paralegals Prepare and assist with real estate documents, including title reports and deeds Organize and maintain legal files and case materials Schedule appointments and manage calendars Proofread legal documents for accuracy, grammar, and consistency Assist with general case management and office operation Prior experience in a law firm preferred Experience preparing real estate documents (title reports, deeds) required Strong organizational skills and attention to detail Excellent written and verbal communication skills Ability to work independently and manage multiple tasks Should be a self-starter who can work productively with little to no supervision Professional, dependable, and discreet in handling confidential information Qualifications Proven experience as a legal secretary or in a legal administrative role within a law office environment. Excellent organizational skills with the ability to manage multiple priorities efficiently. Demonstrated experience in document review, proofreading, transcription services and drafting legal documents. Strong communication skills with professional phone etiquette and client interaction capabilities. Ability to handle sensitive information discreetly while maintaining confidentiality at all times. Paralegal experience or certification is preferred but not required; relevant clerical experience in a busy legal setting is essential.
