Job Description

JOB The City of Avondale is accepting applications for the position of Police Records Clerk II assigned to the Avondale Police Department.

Please note that applicants interested in this position must attach a typing certificate with a minimum typing speed of 35 WPM to their application. Responsible for all aspects of records releases, from receiving requests to final release, and following all established guidelines, policies, and procedures. Performs advanced clerical duties related to the processing and maintenance of police records and provides training to new staff on records clerk responsibilities. Serves as the lead in the absence of the Records and Vehicle Impound Supervisor as needed.
EXAMPLE OF DUTIES
Assists the public, department personnel, and external agency representatives in obtaining police-related information in accordance with established regulations and departmental policy. Responds to mail, email, and front counter inquiries from the public and insurance companies, processing requests for police reports, 911 recordings, and body-worn camera footage. Accurately enters criminal, civil, and parking citations into the records management system.

Serves as the lead for records clerks during regular business hours, providing guidance and answering questions. Develops and implements training programs for records staff and recommends updates to policies and procedures to the Records and Vehicle Impound Supervisor. Acts as the primary point of contact for addressing and resolving concerns from upset citizens.

Reviews police reports prepared by records clerks to ensure accuracy, proper redaction, and compliance with department and state guidelines for information release.

Trains new records staff and volunteers in data entry, front counter operations, and cash handling procedures. Provides support to the Records and Vehicle Impound Supervisor by completing cash deposits in their absence.

Accepts fees for police-related documents and fingerprint services.

Assists the front counter staff by answering telephones and assisting the citizens who come to the Police Department.

Performs other duties as assigned.
