Job Description

Under supervision, the incumbent is responsible for attending court sessions, preparing minutes of the proceedings on the appropriate forms, entering data in case management systems, and related tasks. This position is represented and is non-exempt from the Fair Labor Standards Act. Attending court sessions and preparing minutes on prescribed forms. Entering data into court computer systems; Completing other forms or documents related to cases; Administering oaths to witnesses, prospective and selected jurors, and bailiffs; Marking and recording exhibits during proceedings; Maintaining chain of custody on exhibits; Demonstrating exceptional communication abilities (oral and written); Maintaining attention to detail; Maintaining confidentiality of information; Exercising tact and diplomacy in working with other staff and/or the public; Collecting, reviewing and preparing statistical data; Demonstrating proficiency in software programs such as (Microsoft Word or WordPerfect, Excel, Microsoft Outlook, etc.); and Performing other related work as required by business needs. The ideal job applicant will possess all the knowledge, skills, and abilities (KSAs) listed below, including other KSAs, and meet all minimum requirements. Knowledge, Skills, and Abilities - The successful applicant will possess the following (KSAs): Knowledge of court procedures and practices; Knowledge of court documents and their use; Knowledge of legal terminology; Knowledge of document processing through administrative departments; Knowledge of case calendaring; Knowledge of fines, bails and sentencing procedures; Knowledge of applicable regulations, statutes, codes, and ordinances; Knowledge of California State and local Rules of Court; Ability to work with others; Ability to complete forms using correct grammar, punctuation and spelling; Ability to write rapidly and legibly for long periods of time on multiple-part forms; Ability to make routine arithmetical calculations for fines and bails; Ability to use modern office equipment, which may include computer, computer programs, fax, copier, etc.; Ability to understand and to follow oral and written instructions; Ability to establish and maintain effective working relationships; Ability to accept guidance by technical standards and policies; Ability to read and interpret applicable statutes, regulations, and rules; Ability to exercise sound independent judgment within general policy guidelines; Ability to organize and manage multiple priorities; Perform work that is assigned, scheduled and prioritized by others; and Work cooperatively with other supervisors, managers, bench officers and other justice partners. Educational and Work Experience Requirements Any combination of education and experience that could likely provide the required knowledge, skills and abilities is qualifying. Education equivalent to high school graduation or GED and work experience of three (3) years of increasingly responsible full-time clerical work in a California trial court working as a Legal Process Clerk or equivalent; or four years of legal clerical experience in a public or private law office, clerk's office or court-related business preparing or processing legal documents. Physical Requirements and Work Environment The duties assigned to this classification requires standing, walking, use hands to finger, handle, pinch, pull objects or controls, reach with hands and arms, climb stairs, and balance. Customarily, assigned work may include frequent lifting of up to approximately 10 pounds. Occasional lifting of up to 25 pounds may be required. Employees in this classification generally sit for long periods of time either typing on a computer keyboard or writing on multi-part NCR forms. Some bending, stooping, and/or squatting may be required. While performing assigned duties, the employee is exposed to weather conditions prevalent at the time. The noise and traffic level in the work environment are similar to a busy business office. Reasonable accommodation requests will be considered during pre-employment testing period and after employment when requested, medically documented, and determined by the court to be appropriate under applicable law. Must be willing to work in Fairfield or Vallejo; and Must be willing/able to adjust normal work hours or to work overtime with or without advance notice.
