We are seeking a high-level Executive Assistant who can step in as a right-hand operator within a fast-paced, client-focused Real Estate business who will support in day to day operations and transaction support. This role requires someone who is proactive, detail-oriented, and takes ownership of systems, communication, and execution. The ideal candidate anticipates needs, solves problems before they arise, and keeps the team, the business and our clients moving forward seamlessly. About Us We are a relationship-driven Real Estate team serving the Inland Empire, built on strategy, communication, and results. Our listings are positioned to stand out and often generate multiple offers within the first week. On average, our buyers identify and open escrow on their new homes within three weeks of working with us. We guide our clients through major life transitions with clarity, care, and professionalism and pride ourselves on 5-star customer service. As we continue to grow and scale, we are looking for the right person to help us operate at a higher level and support the next phase of our business. Key Responsibilities Operations & Executive Support  Manage calendars, scheduling, and daily priorities with precision  Maintain organization using SOPs, checklists, and follow-up systems  Act as a gatekeeper to protect time and ensure focus on high-value activities Transaction & Listing Coordination  Support transactions from consultation to post-closing using and refining SOPs  Coordinate timelines including photography, MLS input, open houses, etc.  Ensure compliance, documentation, deadlines, and contact management are handled proactively Client Experience  Communicate with clients, vendors, and partners in a professional and timely manner  Help create a seamless, high-level client experience  Identify opportunities to generate referrals when appropriate Marketing & Systems Support  Assist with listing launches and marketing coordination  Maintain CRM accuracy and ensure follow-up systems are active  Keep files, systems, and workflows clean and organized Day-to-Day Snapshot  Managing active transactions and timelines  Coordinating vendors and appointments  Communicating with clients and service providers  Maintaining CRM and follow-up systems  Supporting listing launches and marketing efforts  Running errands and assisting with day-to-day operations Qualifications  Active California Real Estate License (Required)  Strong organizational and time management skills  Excellent communication and professionalism  Ability to multitask and prioritize effectively  Tech-savvy (CRM systems, email, calendars, digital files, social media, Canva, etc.)  Self-motivated with a high level of accountability Preferred Experience  Bilingual (Spanish-speaking) is a plus  Experience within the Real Estate industry  Familiarity with
MLS, CAR
forms, and compliance processes  Ability to improve and optimize systems  Strong attention to detail and sense of urgency Compensation & Schedule  $25/hour (post 90-day probation)  Approximately 20 hours per week  Bonus structure available Growth Opportunity This role has the potential to quickly grow into a full-time position as the business continues to expand.
