Under the direction of the Family Court Services Director, performs confidential administrative coordination in one or more functional or operational areas of the Court including, but not limited to: administrative services, Family Court Services, probate review and investigation coordination, statistical reporting, all jury services.DISTINGUISHING CHARACTERISTICS
This is a single at-will, FLSA non-exempt position responsible for learning and performing a broad range of duties across several functional or operational areas of the court.EMPLOYMENT STANDARDS
:Knowledge of:
Legal terminology, procedures, practices, documents and forms; Correct English usage, including spelling, grammar and punctuation; Basic mathematical skills; Modern office practices, procedures and equipment, which includes computers and Microsoft Office software including Word, Excel and Outlook; Working knowledge of the Odyssey case management system is desirable; Public and community relations. Ability to : Work independently and make immediate, sound decisions using initiative and independent judgment within the established procedural guidelines; To work rapidly and accurately and make decisions under pressure; To communicate effectively in written and oral form; To maintain accurate records; To assemble and analyze information and prepare reports and records in a clear, concise manner; Maintain strict confidentiality of court files and information as may be obtained or encountered in the performance of one's duties; Organize work and set priorities to meet deadlines working within prescribed time constraints; Use a personal computer and software, including word processing, database and other job-related applications and systems; Demonstrate a high degree of professionalism; and Establish and maintain cooperative and professional working relationships with others, including judicial officers, executive staff, coworkers, attorneys, other agencies/justice partners and the public.EXAMPLE OF DUTIES
The Court Services Specialist classification is a generalist position. Though all incumbents will perform core administrative coordination functions, representative duties associated with this position may include all or some of the following duties: Performs a wide range of administrative coordination duties - e.g., processing incoming mail, files, orders, answering phones and maintaining filing system; Prepares and maintains a variety of documents - e.g., correspondence, memoranda, reports, forms, legal documents, jury instructions; Serves as the court's jury services coordinator; summons prospective jurors; identifies and organizes the number of jurors needed each week; checks in prospective jurors and maintains all documentation after selection has been completed, including juror pay and jury trial fees; maintains jury statistics; and assists in the uploading of new jury data uploads from current DMV and voter registration information; Receives and screens visitors; explains procedures and provides information and/or refers to appropriate staff; Prepares new Family Court Services files, updates files, files mediation reports with the court and confirms all files are prepared prior to court; Ensures all parties are notified when mediation reports are available and mails reports to the respective parties; Provides front desk coverage for the Family Court Services Department, handles customer inquiries; Schedules mediation appointments and maintains appointment book calendar; Assists with the mediation parent orientation class; Prepares files, documents and other requested materials for upcoming mediation appointments; Performs general clerical duties as necessary, maintains Family Court Services Department forms and paperwork; Provides services related to probate examination and assists the Court Investigator, assists in filing guardianship/conservatorship reports, minutes and proofs of service; Establishes and maintains effective working relationships and works collaboratively with staff; May be used to fill in for the Administrative or Executive Assistant in their absence; Performs other duties as assigned.EDUCATION
: High school diploma orGED. EXPERIENCE
: Equivalent to an associate degree, preferably with major course work in administration, business or a legal field; and two (2) years of experience performing administrative support work. OR High School diploma or equivalent GED and three (3) years of consistent responsibilities including clerical, secretarial, or administrative support work experience in a court environment.PHYSICAL REQUIREMENTS
: Work environment involves some potential physical risk and no hazardous conditions; use of standard office equipment (telephone, copier, fax, personal computer, etc.); some standing and walking; normal manual dexterity and eye-hand coordination; hearing and vision to normal range; verbal communication; ability to lift according to the Labor Code regulation limit; ability to work under demanding conditions. This is a normal office working environment.BACKGROUND CHECK
: Any candidate employed by the Tehama Superior Court, County of Tehama, will be required to submit to Live Scan Fingerprinting as a condition of employment, should an offer be made.COMPENSATION AND BENEFITS
Salary:
Salary range consists of 5 steps with approximately a 5% difference between each step. Incumbents advance through steps based upon a review date one (1) year following the appointment date.Benefits:
Sick Leave - 12 days annually (may carry over accrued sick leave from one calendar year to the next); Vacation - 0-4 years=12 days; 5-10 years=18 days; 11-20 years=21 days; 21+ years=22.5 days per year; Management Leave - 40 hours management leave per fiscal year. Holidays - 14 paid holidays plus 1 year end floating holiday. All non-probationary employees shall accrue an additional personal holiday on July 1st of every year. Effective October 1, 2025, all non-probationary employees shall accrue three additional personal "floating" holidays per year. The three additional personal floating holidays must be used within a year from the date they are accrued (i.e., September 30) or they expire. The three additional personal "floating" holidays sunset on September 30, 2026. Health Insurance - All regular employees and all probationary employees are eligible to participate in a group insurance benefit program effective the first day of the month following one (1) full month of employment. The Court contributes 80% of the average premium toward health, dental, and vision insurance plus an additional $200.00 per month (the additional $200.00 per month will sunset September 30, 2026). Employee share of cost for medical/dental/vision benefits is currently $65.76 per month for the EPO coverage. Term & Basic Life Benefit through our County benefit plan is $30,000/$60,000 at a cost to the employee of $1.22 per month and an additional $20,000/$40,000 (AD&D) at no additional cost. The Court pays $225 per month to employees who choose not to participate in the group insurance plan; Employee Assistance Program; Flexible Spending Account - Available for medical and dependent care expenses. Retirement Plan - Employees are enrolled in the California Public Employees' Retirement System (PERS) which is integrated with Social Security. Pepra employees hired on or after January 1, 2013, Retirement is 2% at 62 and the current contribution rate is 8%. Classic Employees hired before January 1, 2013, currently enrolled in PERS or the County Employees' Retirement Law of 1937 (the '37 Act) may be eligible to establish reciprocity. Retirement is 2% @ 55 and the current contribution rate is 7%.APPLICATION PROCEDURE
