FACILITIES & RECORDS CLERKThe San Bernardino Superior Court is hiring a Facilities & Records Clerk to support records management, mail distribution, and essential office logistics. Bring your attention to detail and teamwork skills to a fast-paced, rewarding environment.The Facilities & Records Clerk plays a vital role in keeping the Court's daily operations running smoothly. Behind every courtroom and case file is a dedicated team ensuring records are accurately maintained, mail and supplies are delivered on time, and departments have what they need to serve the public efficiently.

About the positionUnder general supervision, performs a variety of duties and clerical work in the storage, retrieval, distribution and destruction of court case files and other records; processes and delivers mail, case files, parcels and supplies; oversees shipping and receiving; performs warehousing tasks for office supplies and office equipment and furniture; assists with moving and relocating staff, judicial officers and furniture; and performs related duties as required.
Distinguishing CharacteristicsA Facilities and Records Clerk performs a variety of duties associated with processing and distributing case files, mail and office supplies in a central records facility or in a large district. Assigned work requires general knowledge of the functions applicable to records management, mail operations and warehousing and the ability to solve routine to moderately difficult problems. Employees in this class typically report to the Facilities and Records Supervisor.
A Facilities and Records Clerk is differentiated from a Senior Facilities and Records Clerk in that an incumbent in the latter class provides lead-level training and work direction.

FACILITIES & RECORDS CLERK EXAMPLE OF DUTIES
Responds to automated requests from court staff, attorneys and the public regarding stored case files by researching and retrieving files or microfilm, preparing correspondence, and preparing and certifying copies; pulls case files for districts and prepares for courier delivery. Researches court case file numbers using the court's case management systems, case inventory and index system, and microfiche reader equipment. Files and retrieves case files, legal documents and related case materials; maintains the order of files in file folders and in filing systems; assembles documents, identifies and organizes documents for transfer to the archives; retrieves records from archives, if necessary. Prepares Destruction Orders and Notices for judge's signature in accordance with pre-determined criteria; prepares and distributes legal and internal notifications; reviews files for destruction and validates government codes and court guidelines are properly adhered to. Coordinates with third-party vendors for microfilm; prepares document conversion and enters into tracking system pallets of files for microfilming and sends to vendor; checks and verifies invoices against packing slips; ships backup rolls to other facility. Carries and moves file storage boxes using battery operated forklift, ladders and hand trucks to perform file warehousing activities. Packs and loads files for transport from court locations to the records center using trucks, flatbeds, pallet jacks, dollies and forklifts. Acts as the court's daily courier transporting files, mail and furniture among all court locations or throughout departments in a facility. Receives, scans through machine for safety, sorts and delivers mail, inter-departmental correspondence, office supplies and equipment, or other materials and delivers to designated locations. Receives deliveries and performs visual and physical inspections of supplies and equipment for quality, quantity and correctness; may assist in unloading delivery trucks; checks and verifies delivery items received against packing slips and purchase orders; returns defective materials and equipment; refuses receipt of incorrect items. Places supplies on shelves; replenishes warehouse stock and maintains inventory in accordance with established policy and procedures; forecasts future needs for critical stock inventory items to ensure uninterrupted supply; ensures proper maintenance of the inventory system. Assists with semi-skilled maintenance and repair projects including moving and loading furniture using trucks, forklifts, hand trucks and flatbeds; installs ergonomic equipment and reconfigures workstations; performs painting and other building trades. Prepares and coordinates a variety of work reports and records; attends meetings; represents the section/department with other divisions, departments and vendors. May provide onsite oversight and access to contractors engaged in the maintenance and repair of court facilities. Coordinate with court vendors for warranty repair on various court purchased equipment and materials. Performs other duties as assigned.SUPPLEMENTAL INFORMATION

Specific vision abilities required for this job include close vision, distance vision, use of both eyes, depth perception, color vision and the ability to adjust focus.
Mental Demands While performing the duties of this class, an employee uses written and oral communication skills; reads and interprets data, information and documents; analyzes and solves problems; uses shop math; learns and applies new information and skills; responds to emergency situations; and interacts with others encountered in the course of work, including frequent contact with customers and/or the public.
Work EnvironmentThe employee works primarily in an indoor or warehouse environment where the noise level is usually quiet to moderate. Ability to work outdoors in inclement weather is required. Some duties may involve exposure to dust, fumes and traffic. Duties of this position may require working a non-traditional work schedule or working outside normal assigned duties during certain projects.
