Job Description
Title Records and Warrant Clerk Location City of Griffin Description The individual in this position will support law enforcement efforts by ensuring the efficient processing of arrest warrants, preparing documents for court and probation, and entry and removal of GCIC information. Success in this position contributes to the proper maintenance and dissemination of department records. The work requires the exercise of independent thinking within the limits of guidelines, policies, standards, and precedents.
Essential duties include:
Answers calls and greets visitors; provides information and assistance. Performs technical and customer service duties in the maintenance of department files and records. Receives payments for citations, background checks and expungements. Processes open record requests in compliance with Georgia Open Records Act requirements; attends related training as required Receives and distributes subpoenas. Provides customers with incident and accident reports; receives payments. Completes and balances a ledger of monies received; closes out drawers and prepares deposits. Processes releases for vehicle impounds. Verifies wanted person entries in the Georgic Crime Information Center (GCIC) database. Enters traffic citations and arrest booking reports. Maintains false alarm reports and prepares related invoices. Issues golf cart permits. Assists in monitoring and entering data into the GCIC database. Processes all GCIC validations monthly. Prepares arrestee profile sheets for Municipal Court. Processes incoming mail. Prepares and maintains a wide variety of departmental records and reports in compliance with departmental and legal policies and procedures. Prepares and files thorough written case reports. Gives advice on laws, ordinances, and general information to the public; assists citizens in need. Works closely with municipal court and city probation personnel. Acts as the department's liaison with surrounding correctional facilities. Participates in departmental training programs. Participates in community relations projects as required. Performs related duties as required. Position Requirements Knowledge of Georgia Crime Information Center policies and procedures. The work is typically performed while sitting at a desk or table in an office environment while intermittently sitting, standing, kneeling, stooping and lifting/carrying up to 25 pounds. Finger dexterity and needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment. The work is typically performed under moderate noise level and the presence of others. Knowledge of Georgia Crime Information Center policies and procedures. Knowledge of Federal, State, local laws, and municipal court procedures. Skill in maintaining of hard copy and electronic records. Skill in data entry and maintenance of a variety of records. Ability to learn the department's rules, regulations, policies, and procedures. Ability to adapt and react quickly and calmly. Must have good judgement and the ability to solve practical problems and deal with a variety of situations remaining helpful and pleasant at all times. Must have a professional appearance, positive demeanor, and treat others with dignity and respect responding promptly to their needs. Must have the ability to work independently and in a team environment maintaining effective working relationships with others. Must have clear written and verbal communication skills with the ability to interpret such information. Ability to type a minimum of 40 words per minute. Proficiency in the use of computer software including Microsoft Word, Excel and email. Possession of or obtainment ofGCIC/NCIC
certification within six months of position date. Minimum of one year of related customer service experience, law enforcement environment preferred. High school diploma or GED.
